Accommodation photography coordination in Kenya: Operations and Quality Checks

Deliver the agreed result consistently

Prepare a photography brief showing the accommodation’s real selling points and guest information needs, assigning room readiness, access and final image selection to named parties.

The operating sequence for this offer is:

  1. Agree the shoot's room list, intended listing platforms and truthful presentation requirements, verifying access permission and the photographer's usage terms first.
  2. Coordinate cleaning and room readiness with the operator and brief the photographer on amenities, occupied areas and items that must remain private.
  3. Review delivered images against the agreed list and obtain operator approval, recording editing limitations and the licensed use of the final photographs.

Put acceptance into the job record

Images depict the property accurately and usage rights are recorded.

Compare the delivered image set with the brief, checking room identification, current amenities and misleading angles before the host approves photographs for publication on listings.

Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.

Measure real capacity

Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.

Keep a correction and escalation rule

When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.

The shoot wastes money when rooms are unavailable, essential facilities are omitted or editing creates an impression that arriving guests cannot reasonably recognise in person.

Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.

Operating control points for this exact offer

SequenceWork methodRelease checkpoint
1Create a five-area shot schedule identifying authorized spaces and people who can release each room. Agree 20 target images with the photographer: four per guest room, four lounge views and four approach/common-access views, with substitutions approved if the space does not support a useful angle. The photographer accepts the exact final-image count and the coordinator distinguishes a target shot list from guaranteed views not yet inspected.
2Use a readiness card for each room: approved linen arrangement, personal items removed by authorized staff, curtains/window condition and visible maintenance concerns. Ask the operator to resolve defects or disclose them; do not conceal a building limitation with props. All rooms are released by the operator before entry, with occupied areas excluded unless properly authorized.
3Confirm model/property permissions, image usage, editing limits and file delivery with the photographer. Require accurate room proportions and an image set reflecting guest-accessible areas. Keep entry instructions and access codes out of wide shots and public folders. The agreed licence covers the operator’s intended channels without silently granting unrelated portfolio use.
4Coordinate the shoot sequence so ready rooms are captured without disturbing guests or blocking normal operation. Mark completed shot IDs and requested reshoots while the photographer remains on site; avoid directing unsafe ladder, electrical or overhead work yourself. The contact sheet contains useful coverage for all five areas, not 20 near-duplicates of the best room.
5Review delivered files against the shot list and operator facts, checking labels, orientation, privacy and misleading edits. Obtain operator approval before publication and pass technical photographic defects back to the photographer under the correction agreement.Twenty accepted images or an explicitly revised count reconcile to the delivery manifest and usage agreement.

Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.

Diagnose a failure before repeating it

These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
