Annual report layout in Kenya: Customers and Market Demand

The buyer and the buying decision

Associations and organizations with approved report text. The offer to test is: Lay out an annual report without changing approved financial or governance information.

Lay out the report around signed-off narrative and financial content, defining version control, table responsibilities, accessibility expectations, page structure, and who can approve final publication changes formally.

Separate interest from an accepted order

Format a sample section using authorized materials.

The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.

Collect evidence specific to this offer

Maintain source-document versions, reviewer roles, table mappings, unresolved content queries, proof corrections, approval dates, and final checks confirming the published file contains the intended authorized material only.

Question to resolveEvidence to retain
What exactly will the buyer accept?Ask the organization's responsible reviewers to reconcile tables, totals as supplied, captions, page references, and narrative cross-references against the approved source documents before release approval occurs.
What is included in the first trial?Lay out the report around signed-off narrative and financial content, defining version control, table responsibilities, accessibility expectations, page structure, and who can approve final publication changes formally.
How will a prospect see the offer?Show organizations a fictional report sample and an audit-friendly proof log.
What must happen before repeating the trial?Figures and labels reconcile to the authorized source version.

Decide whether to continue

Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. A report can look polished while damaging credibility when an old table survives a late revision or the contents page sends readers to the wrong disclosure entirely.

If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.

Turn the example into a buyer test

Fictional report REP-46 typesets a 24-page annual report from a charity's approved manuscript, six photographs and four tables already signed off by its finance team. Output is an editable layout, print PDF and structured digital PDF with contents/bookmarks. The designer does not audit accounts, rewrite governance conclusions or certify accessibility merely because an automatic check passes. Example control table links 'Statement of activities, source FIN-v 3, pages 18–19' to the matching layout pages.

Buyer discussionEvidence to retain
Specification to confirmA later financial revision replaces the correct table version, not just a screenshot pasted over it.
Output to inspectRecheck cross-references, page numbers and affected tables after every approved change.
Failure that can defeat acceptanceTable total changes in layout

Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.

What a failed test should change

Compare cell text against finance source and import formatting.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
