Apartment noticeboard management in Kenya: Customers and Market Demand

The buyer and the buying decision

Estate management committees and property operators. The offer to test is: Manage apartment noticeboards with approved wording, dates and removal rules.

Agree notice approval, posting duration and contact details, assigning separate spaces for urgent property information and optional community notices so readers can quickly distinguish their purpose.

Separate interest from an accepted order

Administer one board using a written posting policy.

The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.

Collect evidence specific to this offer

Keep approval records, posting and removal dates, resident questions and damaged notices, noting which information needed another communication channel because the board alone did not reach readers.

Question to resolveEvidence to retain
What exactly will the buyer accept?Have residents locate an agreed notice from the proposed board arrangement, checking readability, expiry dates and whether the displayed contact actually handles the subject concerned.
What is included in the first trial?Agree notice approval, posting duration and contact details, assigning separate spaces for urgent property information and optional community notices so readers can quickly distinguish their purpose.
How will a prospect see the offer?Work through authorized estate representatives rather than posting unsolicited promotions.
What must happen before repeating the trial?Current notices are legible, accurate and free of unnecessary tenant identifiers.

Decide whether to continue

Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. A noticeboard becomes unreliable when obsolete alerts remain visible, unofficial information appears approved or residents cannot tell whether a message applies to their particular building.

If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.

Turn the example into a buyer test

Fictional monthly service: maintain one indoor apartment noticeboard with eight A4 notice positions, refreshing up to six operator-approved notices over four weekly visits. Deliver a placement map, publication register and removal log. Examples are a scheduled cleaning notice, approved water-interruption message and meeting invitation. Exclude legal notice drafting/service, public debt lists, tenant identity documents, unverified emergency contacts and advertising without operator permission.

Buyer discussionEvidence to retain
Specification to confirmThe board’s management does not imply authority to alter a legally required notice.
Output to inspectSix approved changes reconcile to publication/removal records and expired operational instructions are not left visible.
Failure that can defeat acceptanceTwo contradictory outage times appear

Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.

What a failed test should change

Trace each issuer/approval and latest source.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
