Appointment administration in Kenya: Customers and Market Demand

The buyer and the buying decision

Salons, consultants and service firms. The offer to test is: Maintain an appointment calendar under a clients booking rules.

Administer appointments within the client's booking rules, defining appointment lengths, staff availability, cancellation authority, reminder channels, private information limits, and handling of requests outside available service capacity or hours.

Separate interest from an accepted order

Trial one calendar with fictional bookings and conflict cases.

The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.

Collect evidence specific to this offer

Keep booking sources, approved slot rules, changes, cancellation reasons, reminder outcomes, staff conflicts, and customer notification evidence so the client can distinguish scheduling errors from customer availability problems during review.

Question to resolveEvidence to retain
What exactly will the buyer accept?Ask staff to reconcile a trial schedule containing rescheduling, duplicate names, cancellations, and an unavailable practitioner, ensuring every changed booking has a clear owner and customer notification record afterward.
What is included in the first trial?Administer appointments within the client's booking rules, defining appointment lengths, staff availability, cancellation authority, reminder channels, private information limits, and handling of requests outside available service capacity or hours.
How will a prospect see the offer?Show service owners a test booking flow and clear exception handling.
What must happen before repeating the trial? No double booking and client availability remains authoritative.

Decide whether to continue

Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. The diary can appear full while creating operational problems when travel gaps, preparation time, or staff breaks are ignored and customers receive appointments the business cannot realistically deliver as promised.

If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.

Turn the example into a buyer test

Fictional appointment desk APT-62 administers twelve 30-minute consultations for a business adviser across Tuesday and Thursday mornings. A client-approved 10-minute preparation buffer follows each meeting. Sample confirmation: 'Your consultation with [adviser] is reserved for [date],10:00–10:30, East Africa Time, at [approved location/link]. Reply through [business channel] if you need to change it.' Advice, payment collection, medical triage and deciding the adviser's eligibility criteria are excluded. The administrator hands over a calendar and private status list.

Buyer discussionEvidence to retain
Specification to confirmSix appointments require 240 minutes including six 10-minute buffers; do not squeeze them into a three-hour morning.
Output to inspectOld links and reminders do not keep directing a client to a cancelled appointment.
Failure that can defeat acceptanceTwo clients share a time

Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.

What a failed test should change

Check all relevant calendars and tentative states.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
