Business logo design in Kenya: Equipment and Supplies

Buy for the acceptance standard

The procurement decision starts with the result you must deliver: Artwork is legible at required sizes and licences and ownership terms are clear.

Ask the client to review the chosen mark in monochrome, small display, and realistic shop or document contexts, checking legibility and consistency without relying on explanation.

A tool or material is suitable only when it can support this specification at the pilot scale. Use the following shortlist as a starting point, not a compulsory shopping package:

  • design software
  • licensed fonts
  • brief template
  • proof log

Write comparable requests for quotations

Ask for the exact unit or pack size, rather than accepting a price without a quantity. Where equipment is involved, check maintenance needs, safe operation, available support and whether you can obtain replacement consumables. Inspect a sample or demonstration where practical. A photograph and a low asking price do not prove suitability or available stock.

Connect procurement to the operating sequence

  1. Record the business name, audience, intended uses and ownership agreement in a signed brief before developing any visual concepts.
  2. Create original concepts using licensed fonts and assets, obtain direction approval and log feedback within the agreed revision limit.
  3. Test the approved mark at required sizes, supply named file formats and document third-party licences without claiming trademark clearance.

At each step, identify the input whose absence would stop delivery. Arrange that input before accepting a deadline. Compare buying with suitable hire or a competent subcontractor, while keeping the responsibility for inspection and customer handover explicit.

Inspect before release to use

Retain the quote and check the delivered specification, quantity, condition and identifying details. Keep unsuitable items separate while you resolve the discrepancy. Record supplier identity and payment reference privately; do not post customer or supplier personal data in a public planning sheet.

Include discovery, sketching, original illustration, type licensing where applicable, revisions, production files, and preparation of simple usage guidance rather than pricing only the final exported image.

Limit the first purchase to the agreed scope: Design a logo around the business name, intended uses, audience, and practical reproduction needs, agreeing concept options, revision limits, and ownership of approved original artwork upfront. Expand the resource list only when actual orders and measured capacity justify it.

Vector design toolEditable paths plus SVG/PDF output and PNG export.Test whether exported files retain the intended shape when opened outside the source application.
Font licenceLicence covering the intended logo use, with a retained copy or clearly documented source.Check exact font family/version and client usage rights, not just a website's 'free' label.
Physical proofTwo A4 test pages showing the mark at 24 mm and larger sizes in colour and black.Use a plain print for legibility; a screen mockup does not establish physical small-size performance.

A usable quotation states the exact variant, comparison unit, minimum order, delivered quantity, tax, delivery charge, payment dates, expiry and exclusions. Obtain written clarification of substitutions; compare only equivalent scopes. Match the delivered item against the same check before releasing it to use.

Supplier evidence and limits

  • Business cards — base tier: KSh 8.00 per one printed card; minimum 100; 300gsm, plain lamination option, single-sided, square corners; base tier 100–249; size not visible in captured listing. Printred, Nairobi, recorded 2026-10-26. Base displayed at KSh 8/card; captured configurator also had Spot UV +KSh 20 selected and showed KSh 28/card/KSh 2800 for100. Delivery and artwork excluded; tax treatment and final size not stated. Confirm exact options, stock and checkout quote; not a logo-design price.

Any listing above is an earlier observation, not a fresh quotation or confirmed stock. Reconfirm suitability and landed cost. The supplier comparison in the operating pack separates purchase quantity from usable requirement when a minimum order creates surplus.
