Business proposal layout in Kenya: Customers and Market Demand
The buyer and the buying decision
Small firms responding to a client request. The offer to test is: Lay out a business proposal from approved scope and commercial information.
Lay out the proposal around the buyer's evaluation process, preserving approved scope, deliverables, commercial terms, evidence, and sign-off information while clarifying which content decisions belong to the client.
Separate interest from an accepted order
Format a short fictional proposal demonstrating scope and pricing tables.
The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.
Collect evidence specific to this offer
Maintain source versions, requirement mappings, pricing references, unresolved content questions, reviewer corrections, approval records, and the final document checked for internal consistency before authorized distribution to the buyer.
| Question to resolve | Evidence to retain |
|---|---|
| What exactly will the buyer accept? | Have the proposal owner trace requirements through the final document, checking pricing tables, appendices, page references, signatures, and consistency between the executive overview and detailed delivery commitments throughout. |
| What is included in the first trial? | Lay out the proposal around the buyer's evaluation process, preserving approved scope, deliverables, commercial terms, evidence, and sign-off information while clarifying which content decisions belong to the client. |
| How will a prospect see the offer? | Show owners a clear editable sample and an approval checklist. |
| What must happen before repeating the trial? | Terms and figures match the approved source; design does not create commitments. |
Decide whether to continue
Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. A proposal loses credibility when polished summaries promise more than the detailed scope or an outdated fee remains in an appendix after the main quotation has changed recently.
If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.
Turn the example into a buyer test
Fictional proposal-layout PROP-58 formats an eight-page cleaning-service proposal supplied by its owner: cover, client need, scope, schedule, responsibilities, itemised quote, terms and acceptance. Example scope line: 'Weekly clean of two offices and one reception; exclusions listed below.' Content, figures and commercial terms remain the owner's responsibility. Output is editable DOCX and linked PDF; no legal drafting, price validation, bid eligibility certification or sending to the prospect is included.
| Buyer discussion | Evidence to retain |
|---|---|
| Specification to confirm | Designer does not invent insurance, staff credentials or client endorsements to fill space. |
| Output to inspect | PDF and editable version contain the same approved offer; late price changes update all occurrences. |
| Failure that can defeat acceptance | Two totals differ |
Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.
What a failed test should change
Compare table and summary with authoritative quote source.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
