Cake box distribution in Kenya: Operations and Quality Checks

Deliver the agreed result consistently

Agree the cake’s base dimensions, finished height and transport presentation, checking whether inserts, windows or boards are included rather than selling by vague size names.

The operating sequence for this offer is:

  1. Confirm the baker's cake-board dimensions, cake height and transport needs before choosing box sizes and making a sample available for an actual fit test.
  2. Check folding, closure and visibility panels with the baker's packed product, documenting changes before a bulk purchase that would leave unsuitable sizes in inventory.
  3. Inspect boxes for moisture or crushing during storage and deliver counted size-labelled packs, recording damaged stock separately from saleable quantities for realistic replenishment decisions.

Put acceptance into the job record

Boxes fit the specified product and maintain structure during ordinary handling.

Have a baker place a representative cake model and board inside the sample, checking lid clearance, assembly and carrying without contact with decorated surfaces.

Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.

Measure real capacity

Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.

At the pilot reviewRecord baker approvals, internal dimensions, assembly difficulties, crushed units and seasonal demand, keeping unusual cake requirements separate from standard stock replenishment orders.

Keep a correction and escalation rule

When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.

A cake box disappoints when nominal dimensions ignore the board, the lid touches decorations or staff cannot assemble the supplied format quickly during busy dispatch.

Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.

Operating control points for this exact offer

SequenceWork methodRelease checkpoint
1Measure the actual board including decorative edges and maximum cake decoration height. The nominal cake diameter is not the board dimension.
2Select a documented box SKU and assemble one sample; measure internal clear width/height and window clearance.A 10-inch product name alone is not accepted as fit evidence.
3Use a clean dummy on the real board to check insertion, lid closure and removal. No window or lid touches decorations; base remains supported during handling.
4Inspect flat stock for moisture, crushing, missing tabs and window adhesion; count bases/lids separately.Quarantine stained or delaminated units; retain supplier lot.
5Deliver 50 sets flat with a fold diagram and size label. Have baker assemble a receipt sample.Explain any documented storage/use limits; cake transport still needs the baker’s suitable support system.

Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.

Diagnose a failure before repeating it

These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
