Caretaker duty tracking setup in Kenya: Customers and Market Demand

The buyer and the buying decision

Property owners and licensed management firms supervising caretakers. The offer to test is: Set up a caretaker duty tracker covering approved tasks and escalation routes.

Convert agreed caretaker duties into observable tasks with realistic frequencies, distinguishing work the caretaker performs personally from faults requiring owner approval and a competent contractor.

Separate interest from an accepted order

Pilot one property's weekly duty list with the caretaker's input.

The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.

Collect evidence specific to this offer

Record task completion patterns, confusing instructions, blocked work and time spent updating the tracker, using the pilot to remove entries that add administration without useful oversight.

Question to resolveEvidence to retain
What exactly will the buyer accept?Ask the caretaker and manager to use the tracker for a trial period, checking whether entries explain completed work, blocked tasks and issues requiring escalation.
What is included in the first trial?Convert agreed caretaker duties into observable tasks with realistic frequencies, distinguishing work the caretaker performs personally from faults requiring owner approval and a competent contractor.
How will a prospect see the offer?Show an operator a practical sample duty schedule using fictional names.
What must happen before repeating the trial? The tracker records completion and unresolved tasks rather than covert surveillance.

Decide whether to continue

Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. Tracking fails when checkmarks replace evidence, responsibilities exceed available time or the manager interprets an uncompleted contractor repair as a neglected caretaker duty without investigation.

If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.

Turn the example into a buyer test

Fictional setup: create a four-week duty tracker for one apartment caretaker and a named relief worker at a 12-unit block. The operator approves six recurring duties: common-area litter check, bin-area check, lighting fault report, visitor-notice update, contractor attendance log and end-of-shift issue handover. Deliver a 28-day roster, task cards and an exception report. This is administrative tracking, not security supervision, employee surveillance, electrical inspection or a determination of employment terms.

Buyer discussionEvidence to retain
Specification to confirmThe operator approves a realistic workload and specifies relief coverage.
Output to inspectThe manager can see unfinished issues and the relief worker receives a usable handover.
Failure that can defeat acceptanceEvery row is ticked but faults remain

Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.

What a failed test should change

Check whether reporting and technical resolution were combined.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
