Check-in coordination in Kenya: Customers and Market Demand
The buyer and the buying decision
Guesthouse and holiday-home operators needing local arrival support. The offer to test is: Coordinate check-ins using authorized access procedures and guest information.
Agree the arrival window, identity checks directed by the host, key handover method and contingency for delayed guests before offering coordination for a particular property.
Separate interest from an accepted order
Handle one supervised arrival with the operator's process and a key handover log.
The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.
Collect evidence specific to this offer
Keep agreed arrival details, actual handover time, access problems and host escalations, recording key custody without retaining unnecessary copies of sensitive guest identity information.
| Question to resolve | Evidence to retain |
|---|---|
| What exactly will the buyer accept? | Rehearse arrival from the guest’s perspective, checking directions, contact availability and operation of doors or gates before relying on a smooth handover during a booking. |
| What is included in the first trial? | Agree the arrival window, identity checks directed by the host, key handover method and contingency for delayed guests before offering coordination for a particular property. |
| How will a prospect see the offer? | Build direct operator relationships using a secure access and escalation plan. |
| What must happen before repeating the trial? | Only authorized guests receive access, with no public sharing of entry codes. |
Decide whether to continue
Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. A guest may reach the property yet remain locked out when gate access, a dead phone or inconsistent arrival instructions were overlooked during preparation.
If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.
Turn the example into a buyer test
Fictional monthly assignment: coordinate six in-person check-ins at one owner-authorized holiday home, each with a confirmed arrival window and a booked handover slot. The operator supplies two guest keys and one controlled spare; the coordinator records key counts and reports arrival problems. The service excludes security guarding, identity investigation, reservation approval, cash collection, emergency maintenance and continuous waiting. Price arrival changes and late attendance explicitly. Entry is never granted merely because a person knows the property's address or shows an old message screenshot.
| Buyer discussion | Evidence to retain |
|---|---|
| Specification to confirm | There is a reachable backup decision-maker and a clear limit to the coordinator's authority. |
| Output to inspect | No unresolved access issue is silently passed to the next guest or hidden inside a generic completed status. |
| Failure that can defeat acceptance | Guest arrives but the booking cannot be verified |
Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.
What a failed test should change
Check the active reservation through the owner-approved channel.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
