Conference registration support in Kenya: Risks and Launch Plan
Set the conditions for a safe commercial test
- Data leaks
- duplicate registrations
- incorrect confirmations
A registration appears complete internally while the delegate remains unregistered if payment did not match the organizer's reference or confirmation went to an unattended address, leaving the traveller without the practical evidence required when arriving at the conference's actual registration desk on the event day.
A risk list is useful only when it changes a decision. For each risk, write the observable warning, who checks it and the response before the next commitment. Do not treat a reserve of money as permission to continue unsafe or unauthorized work.
Use a small, measurable pilot
Test a small registration form and check-in workflow with fictional attendees.
The pilot scope is: Administer conference registrations from an approved attendee list, agreeing ticket categories, delegate details, substitutions, payment authority, confirmation routing, and the separation between registration completion and the organizer's own attendance, refund, or admission decisions under the actual published event terms supplied to delegates before booking.
| Gate | Evidence before continuing |
|---|---|
| Scope agreed | Administer conference registrations from an approved attendee list, agreeing ticket categories, delegate details, substitutions, payment authority, confirmation routing, and the separation between registration completion and the organizer's own attendance, refund, or admission decisions under the actual published event terms supplied to delegates before booking. |
| Output acceptable | Ask the client to reconcile registered delegates with organizer confirmations, checking spelling, session selections, duplicate entries, dietary information handling where necessary, and substitutions that require the organizer's approval rather than simply changing a name in an internal attendee spreadsheet after the original ticket was issued. |
| Costs recorded | Budget attendee-data preparation, organizer enquiries, form submission, approval follow-up, payment coordination within authority, confirmation distribution, and changes, allowing for delegates who respond late or submit incomplete information that blocks the registration from being accurately completed through the organizer's normal process and stated deadline requirements. |
| Buyer response recorded | Record attendee approvals, registration categories, organizer references, payment status supplied by the client, confirmation delivery, substitution requests, unresolved form errors, and final delegate reconciliation so the business can distinguish prepared submissions from registrations genuinely confirmed by the conference organizer under the selected booking category. |
Stage the launch around prerequisites
First confirm the buyer specification and activity requirements. Then compare suppliers, establish suitable facilities and prepare the operating record. Run the bounded trial when those prerequisites are in place. Review actual costs, quality failures and cash collected before increasing the commitment.
This sequence is not a promise that the complete business cycle fits into 30 days. Growing periods, qualifications, approvals, seasonal access and customer buying cycles can require longer. Revise the schedule when a prerequisite changes rather than skipping it to meet a launch date.
Choose continue, revise, pause or stop
Continue only when the scoped result is accepted and direct costs and payment timing are workable. Revise one part of the offer if the problem is identifiable and affordable to test again. Pause when required information, permission, skills or resources are missing. Stop the affected work when safety, consent or lawful authority is uncertain.
Keep a maximum test loss and unpaid-balance limit suited to your actual funds. A successful single delivery is useful evidence, but it does not establish year-round demand or justify committing every available resource.
Tie launch milestones to observable checks
| Risk signal | Evidence to inspect | Response to test |
|---|---|---|
| Attendee appears twice | Compare unique reference and actual registration evidence. | Ask organiser to resolve duplicates before badge printing. |
| QR scans already checked in | Follow the organiser's duplicate-admission rule. | Refer to authorised exception staff rather than admitting automatically. |
| Badge exposes private request | Inspect badge data fields. | Remove sensitive field and route privately to authorised staff. |
Outstanding go / hold conditions
- Actual roster, admission rules, badge prices and platform availability unverified.
- No attendees contacted, payments processed or event check-in performed.
- Eventbrite full help article was rate-limited; verify current workflow in the actual organiser account.
Assign an owner, evidence reference and review date to each unresolved condition. Do not give every milestone a fixed calendar date when it depends on a crop, production, approval or competence cycle. Run only a suitable limited trial, reconcile accepted output and actual cash, and record whether the evidence supports holding, revising, proceeding within the limit or stopping.
