Customer support outsourcing in Kenya: Marketing and Finding Buyers
Reach a buyer who can accept the offer
Small online stores and service businesses.
Offer a sample ticket workflow with explicit escalation rather than unlimited support.
Begin with the problem and specification rather than promising a return on investment you cannot establish. The proposed output is: Handle a defined customer-support queue using the clients approved policies.
Make the first message specific
Explain what you will deliver, what is excluded and what the prospect needs to confirm before a quotation. Use this scope when preparing a sample, demonstration or introduction:
Handle a defined set of support issues using client-approved answers, escalation authority, service hours, customer identity checks, and limits on refunds or account changes the outsourced team may independently approve during a conversation.
Ask who approves purchases, who accepts the output and how payment is arranged. These can be different people. An informal recommendation is useful for an introduction but does not replace the buyer's approval.
Use proof that matches the promise
Run realistic cases involving a delayed order, angry customer, identity uncertainty, and unknown product question, checking accurate answers, respectful communication, proper escalation, and complete handover notes before the first live support shift is accepted.
Keep approved examples, inspection records or handover evidence that demonstrate this result. Obtain permission before using a customer's name, photograph, premises or work. Do not invent reviews, imply an endorsement or display private contact details as marketing proof.
Follow the lead through to collection
| Stage | What to record |
|---|---|
| Contact | Source of the introduction and permission to follow up. |
| Qualified enquiry | Required specification, buying authority and timing. |
| Quotation | Scope, exclusions, price, delivery and payment stages. |
| Accepted result | Run realistic cases involving a delayed order, angry customer, identity uncertainty, and unknown product question, checking accurate answers, respectful communication, proper escalation, and complete handover notes before the first live support shift is accepted. |
| Repeat decision | Keep case categories, verified facts, answers used, escalation times, customer recontacts, unresolved commitments, knowledge gaps, and client corrections so the pilot reveals both agent performance and weaknesses in the business's existing support information and processes. |
Trial a short coverage period with a limited issue category.
Review what it cost to obtain and fulfil a paying order, including travel and follow-up. High enquiry counts do not compensate for a route or delivery arrangement that loses money. Keep cancellations, complaints and refusals visible when evaluating a channel.
Outsourcing fails when agents optimize speed by closing cases that remain unresolved, or promise refunds and delivery dates the merchant cannot authorize or fulfil for the customer under its actual service arrangements and stock availability.
Expand outreach only when the promised scope can be delivered reliably. Use permission-based follow-up and an achievable response time instead of bulk unsolicited messages.
A scope-led outreach draft
The supplied draft below is ready to adapt, not a message already sent:
Hello [seller], I can trial twenty support tickets using your current answers and explicit escalation rules. You retain refund, stock and delivery commitments. Please send a redacted example and identify who owns internal replies so unresolved cases do not disappear after a polite holding message.
Replace claims with proof of this offer
| Sales claim to substantiate | Evidence before repeating the promise |
|---|---|
| Required result | Closed tickets meet the client's definition and customer personal data stays in authorised systems. |
| Input suitability | Confirm the client can revoke access without changing a shared password. |
| Failure to address honestly | Agent promises unconfirmed delivery |
Remove placeholders and replace assumed prices with an approved scope and actual cost estimate. Do not advertise technical certification, current stock, guaranteed income or results you cannot substantiate. Record enquiries, accepted quotes, declined quotes, delivered orders and collected balances separately; a sent message is not a sale.
