Document scanning service in Kenya: Customers and Market Demand

The buyer and the buying decision

Offices digitizing a bounded archive. The offer to test is: Scan and index authorized paper documents without altering originals.

Scan authorized documents into an agreed file structure, specifying page order, duplex treatment, naming, image quality, searchable text expectations, and how physical originals will be protected and returned after processing each batch.

Separate interest from an accepted order

Scan one folder and agree naming and readability standards.

The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.

Collect evidence specific to this offer

Keep batch inventories, page counts, rescans, unreadable areas, filename mappings, original-document exceptions, client retrieval tests, and signed return reconciliation so every digital package can be traced to the material actually received for scanning.

Question to resolveEvidence to retain
What exactly will the buyer accept?Ask the client to retrieve sampled pages and inspect fine print, stamps, signatures, page orientation, and missing reverse sides, distinguishing image readability from the separate accuracy of any automated text recognition produced afterward.
What is included in the first trial?Scan authorized documents into an agreed file structure, specifying page order, duplex treatment, naming, image quality, searchable text expectations, and how physical originals will be protected and returned after processing each batch.
How will a prospect see the offer?Offer offices a folder-level pilot and documented original custody.
What must happen before repeating the trial?Page count, orientation and readability are checked; missing pages are reported.

Decide whether to continue

Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. A digitization job fails when a searchable file exists but the signed reverse page is missing, or originals are returned in an order that makes the client's physical records harder to use afterward.

If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.

Turn the example into a buyer test

Fictional scan job SCN-67 digitises ten folders, each containing ten duplex A4 sheets:100 physical sheets and 200 page images. Output is ten named searchable PDFs, a 200-page reconciliation and returned originals in their existing order. Example filename F03_supplier-records_2026.pdf is a client-approved category, not permission to expose confidential contents. Document destruction, legal certification, handwritten-text accuracy guarantees and repairing fragile originals are excluded. Any blank reverse pages remain until the client approves a documented blank-removal rule.

Buyer discussionEvidence to retain
Specification to confirmStop automatic feeding for fragile or unsuitable sheets and obtain a safe handling plan.
Output to inspectClient can find a requested reference, and every original folder is signed back in the correct order.
Failure that can defeat acceptancePDF has fewer pages than expected

Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.

What a failed test should change

Check duplex, blank-removal and double-feed events.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
