Document typing service in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Type supplied material into an agreed editable format, clarifying treatment of handwriting, tables, spelling corrections, confidential content, and illegible passages before promising a completion date or clean transcription result.
The operating sequence for this offer is:
- Count and inspect the source pages, agree output format and mark illegible sections for clarification before estimating typing time.
- Type from the authorized source, preserve names and numbers and keep a query list instead of guessing ambiguous words or table entries.
- Proof the draft against the originals, obtain client corrections and return both the approved editable file and physical documents through a recorded process.
Put acceptance into the job record
Names, numbers and formatting match the source; illegible content is visibly queried.
Ask the client to compare sampled pages and every flagged uncertainty against the source, checking names, numbers, paragraph order, tables, and whether edits exceeded the authorized typing instructions received initially.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Type supplied material into an agreed editable format, clarifying treatment of handwriting, tables, spelling corrections, confidential content, and illegible passages before promising a completion date or clean transcription result. |
| During delivery | Type from the authorized source, preserve names and numbers and keep a query list instead of guessing ambiguous words or table entries. |
| At acceptance | Ask the client to compare sampled pages and every flagged uncertainty against the source, checking names, numbers, paragraph order, tables, and whether edits exceeded the authorized typing instructions received initially. |
| At the pilot review | Record source page references, illegible segments, client clarifications, correction decisions, formatting requirements, proof comparisons, and the final file version accepted after unresolved transcription questions have been explicitly identified for review. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
A neatly typed document can be unusable when guessed handwriting changes a name, amount, or instruction and the typist silently treats uncertainty as permission to reconstruct the intended source text.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Count ten pages, record front/back order and identify handwriting difficulty or missing corners. | Quote after viewing all pages; one clear sample does not establish the rest are equally legible. |
| 2 | Decide whether spelling is copied literally, how deletions are treated and how unclear words are marked. | A proposed wording correction is separate from faithful transcription. |
| 3 | Use headings, proper paragraphs and a real five-column table. | Do not align table entries with spaces that collapse on another device. |
| 4 | Read line by line, checking names, numbers, negations and table alignment separately. | Never silently turn 'do not sign' into 'sign' through an omitted word. |
| 5 | Send page/line-specific questions, incorporate client answers and inspect DOCX/PDF. | All ten source pages are accounted for and every unresolved word remains visibly flagged. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Table row moves under wrong heading | Compare source row/column structure. | Correct the table and recheck all numerical cells. |
| Unclear name guessed | Check query log against original. | Replace guess with an explicit query and ask client. |
| PDF cannot select text | Inspect export method. | Export from the editable document as text rather than a screenshot. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
