Farm record digitization in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Define the digitization job by document types and reporting period, agreeing how missing receipts and mixed household purchases will be flagged during entry.
The operating sequence for this offer is:
- Agree the farm's transaction categories and reporting period, collecting source records and identifying missing documents before entering any amounts.
- Enter purchases, harvests, sales and cash receipts separately, reconciling totals to source documents and flagging unclear items rather than inventing replacements.
- Review the completed report with the owner, back up the agreed files securely and document corrections and the records needed for the next period.
Put acceptance into the job record
Do not invent missing records or confuse sales with cash received.
Have the owner reconcile a converted sample period against original receipts, checking both totals and whether categories reflect the farm's actual enterprises.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Define the digitization job by document types and reporting period, agreeing how missing receipts and mixed household purchases will be flagged during entry. |
| During delivery | Enter purchases, harvests, sales and cash receipts separately, reconciling totals to source documents and flagging unclear items rather than inventing replacements. |
| At acceptance | Have the owner reconcile a converted sample period against original receipts, checking both totals and whether categories reflect the farm's actual enterprises. |
| At the pilot review | Keep source references, entered amounts, unresolved queries and owner-approved classifications together so another person can trace each reported figure to supporting evidence. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
Polished totals can create false confidence when uncertain handwritten figures become unflagged facts, encouraging decisions based on guesses rather than reliable farm records.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Inventory the 160 documents by unique source ID and agree month, categories and confidential access. | Missing/illegible documents go on the exception list before totals are presented as complete. |
| 2 | Create separate purchase, sales, receipt and harvest tables with date, source ID and relevant physical/currency units. | A harvest kilogram is not added to shillings, and a customer receipt links to its invoice where known. |
| 3 | Enter source facts and use validation for dates, categories and numeric values. | Ambiguous digits or dates are flagged rather than resolved by a plausible guess. |
| 4 | Reconcile document counts and owner-provided balances, checking duplicate invoice/receipt relationships. | 160 indexed documents match entered or explicitly held records; sales and cash collection totals remain separate. |
| 5 | Owner reviews exceptions and totals; deliver editable workbook plus agreed backup and deletion/retention arrangement. | Backup reopens, formulas survive and confidential files are shared only with the approved recipient. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Revenue appears doubled | Check invoice and linked receipt treatment | Remove duplicate revenue recognition while retaining the cash record. |
| Monthly balance does not reconcile | Trace opening balance, source IDs and held items | Report unexplained difference rather than insert a balancing transaction. |
| Owner cannot open backup | Check file format and actual restore test | Export an agreed compatible copy and verify it before deleting working files. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
