Guest registration service in Kenya: Customers and Market Demand

The buyer and the buying decision

Conferences and invitation-only event organizers. The offer to test is: Operate guest registration with a minimal-data check-in list and clear exception process.

Operate check-in using an approved guest list, minimal identity fields, entry authority, duplicate-name handling, device access, and an offline process agreed with the event organizer.

Separate interest from an accepted order

Test a small guest list with fictional entries before the live check-in.

The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.

Collect evidence specific to this offer

Keep list versions, check-in totals, duplicate cases, organizer decisions, connectivity interruptions, manual entries, and final reconciliation, recording how working copies are returned or deleted after the assignment.

Question to resolveEvidence to retain
What exactly will the buyer accept?Test fictional guests including duplicate names, unexpected arrivals, and repeated check-ins, checking accurate totals, discreet screens, and organizer approval before granting disputed admission to the venue.
What is included in the first trial?Operate check-in using an approved guest list, minimal identity fields, entry authority, duplicate-name handling, device access, and an offline process agreed with the event organizer.
How will a prospect see the offer?Demonstrate a privacy-conscious check-in process to conference organizers.
What must happen before repeating the trial?Attendance counts reconcile and guest information is not exposed on public screens.

Decide whether to continue

Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. Registration fails when a duplicate name is treated as the same person or an operator admits an unexpected guest without the organizer's required authority to decide entry.

If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.

Turn the example into a buyer test

Fictional REG-155 registers 80 invited conference guests using private attendee references and two desk operators. Output is check-in status, badge issue record and final count, not a public list. A fictional duplicate name 'A. Kamau' appears twice with references G12/G48; operator confirms approved distinguishing detail privately rather than merging records.

Buyer discussionEvidence to retain
Specification to confirmDo not request national IDs by default.
Output to inspectFollow agreed retention; no marketing reuse.
Failure that can defeat acceptanceDuplicate name

Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.

What a failed test should change

Compare unique references.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
