Guest toiletries supply in Kenya: Equipment and Supplies
Buy for the acceptance standard
The procurement decision starts with the result you must deliver: Products arrive intact and identifiable; unsupported cosmetic or environmental claims are avoided.
Inspect a sample delivery for intact closures, readable labels, consistent quantities and compatibility with the accommodation’s storage and dispenser arrangements before accepting repeat supply.
A tool or material is suitable only when it can support this specification at the pilot scale. Use the following shortlist as a starting point, not a compulsory shopping package:
- Supplier records
- Product specifications
- Dry storage
Write comparable requests for quotations
| Resource | Questions for the supplier |
|---|---|
| Supplier records | Confirm the precise variant, usable quantity, compatibility, delivered cost, lead time, invoice and remedy for a mismatch. |
| Product specifications | Confirm the precise variant, usable quantity, compatibility, delivered cost, lead time, invoice and remedy for a mismatch. |
| Dry storage | Confirm the precise variant, usable quantity, compatibility, delivered cost, lead time, invoice and remedy for a mismatch. |
Ask for the exact unit or pack size, rather than accepting a price without a quantity. Where equipment is involved, check maintenance needs, safe operation, available support and whether you can obtain replacement consumables. Inspect a sample or demonstration where practical. A photograph and a low asking price do not prove suitability or available stock.
Connect procurement to the operating sequence
- Obtain supplier identity, product labels and intended guest-use specifications before approving a small toiletry range for the accommodation operator.
- Store products appropriately and assemble consistent room packs, keeping supplier batch references available rather than decanting or relabelling without suitable authority.
- Deliver counted stock and explain replacement or complaint procedures, recording skin-reaction reports without attempting to provide medical advice or unsupported safety assurances.
At each step, identify the input whose absence would stop delivery. Arrange that input before accepting a deadline. Compare buying with suitable hire or a competent subcontractor, while keeping the responsibility for inspection and customer handover explicit.
Inspect before release to use
Retain the quote and check the delivered specification, quantity, condition and identifying details. Keep unsuitable items separate while you resolve the discrepancy. Record supplier identity and payment reference privately; do not post customer or supplier personal data in a public planning sheet.
Include freight, damaged packaging, storage space, small-order picking and slow-moving fragrance variants, evaluating the margin after delivery to individual accommodation properties and replacement claims.
Limit the first purchase to the agreed scope: Define product types, guest presentation and replenishment quantities with the accommodation buyer, checking supplier traceability and avoiding decanting arrangements that remove useful product identification. Expand the resource list only when actual orders and measured capacity justify it.
Exact procurement specifications for this offer
| Item | Specification to quote | Acceptance evidence |
|---|---|---|
| Finished shampoo | 100 B&B Luxe Collection 30 ml sealed tubes, SKU GRA004, subject to actual stock confirmation. | The checked Turnstar product page lists KSh 25.50 per tube; confirm current batch/date, tax and delivery rather than extrapolating a freight-inclusive quote. |
| Cartons | Five clean cartons sized for 20 protected tubes each, with count/batch labels. | Trial packing must not squeeze caps or obscure original labels; do not use a chemical-contaminated reused carton. |
| Receiving paperwork | Product specification, supplier invoice, defect photos where needed and delivery acceptance sheet. | Check that product identity and quantity agree across quotation, invoice and cartons. |
A usable quotation states the exact variant, comparison unit, minimum order, delivered quantity, tax, delivery charge, payment dates, expiry and exclusions. Obtain written clarification of substitutions; compare only equivalent scopes. Match the delivered item against the same check before releasing it to use.
Supplier evidence and limits
- B&B Shampoo Tube — B&B Luxe Collection: KSh 25.50 per one 30 ml tube; 30 ml individually sealed shampoo tube, SKU GRA004. Turnstar Universal Supplier Ltd, recorded 2026-10-26. Product page lists KSh 25.50 per tube. Tax inclusion, actual stock, batch/date, delivery price and bulk discount are unconfirmed; no purchase performed.
Any listing above is an earlier observation, not a fresh quotation or confirmed stock. Reconfirm suitability and landed cost. The supplier comparison in the operating pack separates purchase quantity from usable requirement when a minimum order creates surplus.
