Guest transfer coordination in Kenya: Customers and Market Demand
The buyer and the buying decision
Accommodation operators arranging transport for their guests. The offer to test is: Coordinate guest transfers using appropriately authorized transport providers.
Agree passenger numbers, luggage needs, pickup identification and operator responsibilities, making clear which transport details have been confirmed directly with an appropriately authorised provider.
Separate interest from an accepted order
Complete one prebooked transfer with confirmed driver details and a backup contact.
The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.
Collect evidence specific to this offer
Keep operator confirmations, passenger requirements, actual pickup outcomes and communication failures, recording changes in a way that clarifies responsibility without promising control over traffic conditions.
| Question to resolve | Evidence to retain |
|---|---|
| What exactly will the buyer accept? | Rehearse the communication chain for a delayed arrival, checking that guest and driver receive matching pickup instructions and know who resolves last-minute vehicle changes. |
| What is included in the first trial? | Agree passenger numbers, luggage needs, pickup identification and operator responsibilities, making clear which transport details have been confirmed directly with an appropriately authorised provider. |
| How will a prospect see the offer? | Work through established transport providers and accommodation operators, not unverified drivers. |
| What must happen before repeating the trial? | Guests receive accurate pickup information and charges, with responsibilities clearly assigned. |
Decide whether to continue
Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. Even an available vehicle does not ensure a successful transfer when pickup locations differ, luggage exceeds the booked capacity or driver changes are not relayed promptly.
If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.
Turn the example into a buyer test
Fictional coordination task: arrange two airport–guesthouse transfers for four adults with six declared suitcases, using an appropriate passenger-transport provider. Deliver provider-confirmed vehicle capacity, flight/date details, meeting instructions and a contact/escalation sheet. The coordinator does not drive, certify a vehicle, promise border/terminal access or guarantee arrival time. Transport charges, waiting time, parking and any additional equipment are separately quoted by the provider. Sharing guest details is limited to what the actual booking requires and authorizes.
| Buyer discussion | Evidence to retain |
|---|---|
| Specification to confirm | The brief describes luggage dimensions and special requirements rather than assuming a standard car fits everyone. |
| Output to inspect | The final record distinguishes completed transfer from provider-assigned or guest-not-yet-met status. |
| Failure that can defeat acceptance | Vehicle cannot hold the cases |
Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.
What a failed test should change
Compare actual luggage dimensions with the provider’s written capacity confirmation.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
