House plant pot shop in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Match pots to the plant's existing root container and the customer's watering arrangement, clarifying whether the purchase includes drainage holes, an inner pot, or a saucer.
The operating sequence for this offer is:
- Inspect cracks. Compare the physical sample with supplier dimensions and use instructions. Record any unsupported claim rather than repeating it in advertising.
- measure openings. Write the selected dimensions or compatibility on the customer order. Ask for confirmation before ordering a non-returnable item.
- explain drainage and liners. Check closures, fixings, set contents or moving parts as applicable. Keep a dated record of defects found before dispatch.
- check drainage holes where supplied. Record dispatch condition and packing, then explain the actual warranty and care information supplied with that specific product.
Put acceptance into the job record
Correct dimensions, stable base and clearly explained drainage arrangement.
Have the customer place a comparable nursery container inside the sample, checking usable depth, base stability, drainage access, and protection of indoor furniture surfaces.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Match pots to the plant's existing root container and the customer's watering arrangement, clarifying whether the purchase includes drainage holes, an inner pot, or a saucer. |
| During delivery | measure openings. Write the selected dimensions or compatibility on the customer order. Ask for confirmation before ordering a non-returnable item. |
| At acceptance | Have the customer place a comparable nursery container inside the sample, checking usable depth, base stability, drainage access, and protection of indoor furniture surfaces. |
| At the pilot review | Record internal dimensions, plant container size, drainage arrangement, included saucer, stability observations, and customer questions about how watering will work in the proposed location. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
A pot can suit the room visually while damaging customer confidence when water collects unnoticed inside or the nursery plant cannot be removed for draining.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Record widest rim, base and height rather than nominal plant size. | The entire nursery pot can sit inside. |
| 2 | Ask whether the customer wants a draining pot/saucer or closed cachepot. | The listing states that distinction. |
| 3 | Inspect base cracks, rims and matching saucers if included. | Ten sound complete units remain. |
| 4 | Place the reference nursery pot inside without wedging; check removal clearance. | Customer can remove the inner pot. |
| 5 | Explain actual material/use limits and included pieces. | No unverified weather or load promise. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Nursery pot wedges | Measure actual pot rim, base and taper against cachepot usable interior, not external diameter alone. | Select larger compatible cachepot and recheck dry fit; do not force or crack either pot to achieve fit. |
| Water accumulates | Confirm closed-cachepot format and actual nursery pot arrangement; do not infer drainage holes from photograph. | Explain supported care/empty-container limitations or choose verified draining model; drilling is outside this offer and cannot be promised casually. |
| Base crack | Inspect empty pot base and walls under good light, including transit impact points. | Quarantine cracked unit and inspect linked carton; replace before customer placement rather than filling crack undisclosed. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
