Inventory software onboarding in Kenya: Customers and Market Demand

The buyer and the buying decision

Small retailers and stockholding workshops. The offer to test is: Onboard a business to inventory software with validated item and opening-stock data.

Onboard inventory software using agreed stock units, locations, product variants, opening quantities, and staff roles rather than importing inconsistent spreadsheets unchanged.

Separate interest from an accepted order

Configure a small product sample before full migration.

The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.

Collect evidence specific to this offer

Keep source mappings, opening-count exceptions, transaction tests, user mistakes, permission checks, and owner decisions resolving product identities before routine operations begin.

Question to resolveEvidence to retain
What exactly will the buyer accept?Ask staff to receive, sell, return, and recount test items, confirming quantities reconcile and variant names remain distinguishable at ordinary working speed.
What is included in the first trial?Onboard inventory software using agreed stock units, locations, product variants, opening quantities, and staff roles rather than importing inconsistent spreadsheets unchanged.
How will a prospect see the offer?Offer a sample stock-cycle demonstration rather than importing messy data blindly.
What must happen before repeating the trial?Opening quantities reconcile and stock movements behave as agreed.

Decide whether to continue

Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. Software creates false certainty when a box and individual piece share one unit or duplicate product codes divide the same physical stock.

If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.

Turn the example into a buyer test

Fictional inventory onboarding INV-86 imports 100 stationery items into a merchant's Loyverse account using the current exported CSV schema. Example item is SKU00127, blue ballpoint pen, sold by piece, with owner-confirmed opening count; no real count is invented. Output is a cleaned product master, five-item trial import, full import reconciliation and operator exercise. Cost accounting, tax configuration, barcode allocation and assuming receipt software alone meets eTIMS duties are excluded.

Buyer discussionEvidence to retain
Specification to confirmDo not upload a guessed old schema to a live 100-item catalogue.
Output to inspectLive opening balances require owner-confirmed physical data; a test sale is kept out of real reporting as vendor supports.
Failure that can defeat acceptanceStock is not tracked

Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.

What a failed test should change

Check track-stock input and imported field state.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
