Invoice preparation support in Kenya: Registration and Activity Checks
Define the activity that authorities need to assess
Prepare invoices from owner-approved sales details and templates.
Prepare invoices from client-approved transaction information, defining customer details, item descriptions, quantities, agreed terms, numbering, and the responsible person's approval before issue, while leaving tax treatment and disputed charges to the client's authorized adviser or decision maker as appropriate.
Describe that exact operation when checking requirements. State where the work takes place, whether customers enter the premises, who performs technical tasks and whether you manufacture, resell, deliver or coordinate the service. Requirements can change with these facts; a broad business category is not a complete permit determination.
Sector questions to investigate
- Determine whether the service acts as a data processor, and assess registration applicability with ODPC.
- Agree purpose, authorized access, retention and incident contacts before receiving client records.
- Do not undertake regulated legal, tax, audit or other qualified professional work under an administration label.
Keep registration separate from permission to operate
A registered business name does not itself establish approval of premises, products or professional work. Use the Business Registration Service to check the appropriate registration route. Ask the relevant county office which premises and trading checks apply to the actual activity. Confirm tax and invoicing obligations with KRA for your circumstances rather than copying another trader's treatment.
Prepare a written enquiry
| Information to provide | Business-specific starting point |
|---|---|
| Proposed output | Prepare invoices from owner-approved sales details and templates. |
| Scope and exclusions | Prepare invoices from client-approved transaction information, defining customer details, item descriptions, quantities, agreed terms, numbering, and the responsible person's approval before issue, while leaving tax treatment and disputed charges to the client's authorized adviser or decision maker as appropriate. |
| First operating step | Obtain approved sales details, numbering rules and the owners tax instructions, then prepare a sample invoice for review before handling a batch. |
| Quality and acceptance | Ask the business to reconcile a sample invoice to its approved order and delivery evidence, checking recipient details, arithmetic, duplicate numbering, payment instructions, and how cancellations or corrections are handled without silently replacing the original issued document in its records. |
Add the county, location, premises arrangement, scale, equipment and responsible person's qualifications. Ask which authority handles an issue if it falls outside the first office's remit. Record the answer, reference link, date checked and any renewal or inspection condition. A guide's reference list is a route to verification, not an approval document.
Decide what must wait
Do not offer a regulated service or make a safety, accreditation or certification claim that you cannot substantiate. Resolve an unanswered prerequisite before accepting work that depends on it. A demand interview can often precede trading; a paid or physical trial still needs the appropriate permissions and safe arrangements.
Invoice preparation fails when an accurate-looking document bills the wrong legal customer, repeats an earlier charge, or changes payment details without authorization, creating collection delays and mistrust despite a professionally formatted document that appears ready to send to the buyer immediately.
No universal licence package, current fee or exemption is asserted here. The official links below support only their stated scope.
Prepare a precise activity enquiry
Describe this actual operating scope to the relevant authority or competent adviser: Fictional invoice-support INV-74 prepares ten draft invoice records from the owner's approved sales orders for a stationery business. Sample draft line: 'A4 notebook,10 pieces×KSh 250 =KSh 2,500' with tax/charge treatment supplied by the business's authorised accountant or invoicing configuration. Output is a draft register and reviewed handover for the client's proper invoicing process. A typed PDF is not described as a compliant electronic tax invoice merely because it resembles one. Tax classification, filing, forged signatures, unauthorised issuance and collecting payment are excluded.
Use these operating details to make the enquiry specific:
| Detail to disclose | Why it can affect the answer |
|---|---|
| Approved sales data - Ten orders with unit/price/customer details. | Explain the actual premises, scale, use and who will perform the task. Ask which current rule applies to these facts. |
| Client invoicing procedure - Named issuer/adviser and current authorised system. | Explain the actual premises, scale, use and who will perform the task. Ask which current rule applies to these facts. |
| Draft validation register - Line totals, queries, approver and draft/issued states. | Explain the actual premises, scale, use and who will perform the task. Ask which current rule applies to these facts. |
Keep the reply date, official source, exact activity facts and any conditions together. This is an enquiry preparation method, not a determination that a licence, exemption or fee applies. The earlier source dates do not mean legal requirements were rechecked today. Resolve these outstanding checks before relying on a broad business description:
- Business-specific KRA/eTIMS duties, issuer authority and tax treatment require current verification.
- No invoice issued/transmitted or account credentials accessed.
