Local maker marketplace in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Build the marketplace around verified maker listings, clear production lead times, and responsibility for payment, customer communication, delivery, and correction of custom orders.
The operating sequence for this offer is:
- Choose a narrow maker category, verify seller identity and fulfilment capability, and agree who handles payment, delivery and complaints.
- Publish accurate maker-owned listings with authorized photographs, confirm stock before taking orders, and manually monitor the first buyer transaction.
- Reconcile seller payment and delivery evidence, record complaints, and suspend unreliable listings rather than letting catalogue growth hide failed fulfilment.
Put acceptance into the job record
Buyer knows the maker, total price and complaint contact
Place a trial order through a maker's actual workflow and check listing accuracy, acknowledgement, dispatch updates, packaging, and handling of a realistic customer query.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Build the marketplace around verified maker listings, clear production lead times, and responsibility for payment, customer communication, delivery, and correction of custom orders. |
| During delivery | Publish accurate maker-owned listings with authorized photographs, confirm stock before taking orders, and manually monitor the first buyer transaction. |
| At acceptance | Place a trial order through a maker's actual workflow and check listing accuracy, acknowledgement, dispatch updates, packaging, and handling of a realistic customer query. |
| At the pilot review | Record maker response times, listing corrections, order exceptions, support effort, refunds, and repeat buyers so expansion follows dependable fulfilment rather than the number of listings. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
A marketplace loses trust when listings imply ready stock but makers begin production only after payment, leaving buyers surprised by delivery dates and cancellation restrictions.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Record who owns each product, handles refunds and fulfils orders; obtain permission for photographs and public business contacts. | Each maker approves a named contact and the published responsibility statement. |
| 2 | Assign M01-P01 through M10-P03; capture dimensions, material, available quantity, production lead time and collection area. | No listing combines ready stock with made-to-order inventory. |
| 3 | Shoot front, scale and detail views of each actual sample against the same background; keep originals linked to SKU. | The image is the maker’s product, with no unsupported material or origin claim. |
| 4 | Send each maker its three draft pages and test their enquiry links from a phone. | Written approval covers price, units, turnaround and customer-facing contact. |
| 5 | Mark sold-out items unavailable, log enquiries without exposing buyer details to unrelated sellers and record seller corrections. | Thirty listings reconcile to ten signed-off seller records; report enquiries separately from confirmed orders. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Buyer asks for unavailable stock | Compare the listing update date with the maker stock sheet. | Suspend checkout/enquiries for that item until the maker confirms availability. |
| Maker disputes a photograph | Check permission and the approved proof. | Remove the image pending a replacement and preserve the correction record. |
| Enquiry is counted as a sale | Check for maker confirmation and paid-order reference. | Correct the report; retain separate enquiry and completed-order columns. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
