Meeting minute preparation in Kenya: Customers and Market Demand
The buyer and the buying decision
Associations and small governing committees. The offer to test is: Prepare draft minutes from an authorized meeting record for chair approval.
Prepare minutes around the meeting's decisions and assigned actions, agreeing attendance verification, confidential sections, approval authority, recording permission, and how disputed recollections should be referred back to the meeting chair afterward.
Separate interest from an accepted order
Draft minutes from one short meeting segment with named review responsibility.
The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.
Collect evidence specific to this offer
Record agenda references, confirmed attendees, decision wording, action ownership, clarification requests, chair corrections, approval status, and unresolved disputes that must remain visible rather than being silently settled by the minute taker.
| Question to resolve | Evidence to retain |
|---|---|
| What exactly will the buyer accept? | Ask the chair to verify decisions, owners, deadlines as actually agreed, and unresolved matters, ensuring the document does not convert discussion suggestions into commitments that participants never formally accepted in session. |
| What is included in the first trial? | Prepare minutes around the meeting's decisions and assigned actions, agreeing attendance verification, confidential sections, approval authority, recording permission, and how disputed recollections should be referred back to the meeting chair afterward. |
| How will a prospect see the offer? | Show committees a fictional action-led minute and approval workflow. |
| What must happen before repeating the trial? | Actions, owners and decisions are validated by the committee; no approval is assumed. |
Decide whether to continue
Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. Minutes become harmful when an open discussion is summarized as an approved decision or a task appears under the wrong person's name, leaving the organization acting on an inaccurate administrative record later.
If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.
Turn the example into a buyer test
Fictional minutes MIN-65 records one 60-minute supplier-review meeting for four authorised participants. Output is a two-page draft plus action register. Sample original minute: 'Decision D02: Request revised delivery dates from both shortlisted suppliers before selection. Action A03: Procurement lead to request dates by[agreed date]; finance lead to review the comparison after replies.' The writer records what was actually decided, not an invented consensus. Full verbatim transcription, legal board-secretariat certification and sending minutes without approval are excluded.
| Buyer discussion | Evidence to retain |
|---|---|
| Specification to confirm | No recording is made merely because it would make note-taking easier; explicit authorised arrangements come first. |
| Output to inspect | A final action register matches the minutes and unresolved comments are not silently deleted. |
| Failure that can defeat acceptance | Action has no owner |
Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.
What a failed test should change
Check notes and chair confirmation.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
