Microfiber cloth packing in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Pack microfiber cloths against verified material information, dimensions, edge construction, and exact counts, separating supplier descriptions from unsupported fibre-composition or specialist-cleaning claims.
The operating sequence for this offer is:
- Obtain the buyer's cloth size, pack count and material specification, verifying supplier documentation rather than guessing fibre composition from appearance.
- Measure and inspect received cloths, separate damaged or inconsistent pieces and pack exact quantities on a clean counting surface.
- Check sample packs for size, stitching and label accuracy, retaining supplier and batch information for complaints or repeat-order comparison.
Put acceptance into the job record
Correct quantity, size and material description
Inspect sample packs for counts, size variation, stitching, contamination, and accurate labels, checking the actual cloths against the approved specification rather than a supplier photograph.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Pack microfiber cloths against verified material information, dimensions, edge construction, and exact counts, separating supplier descriptions from unsupported fibre-composition or specialist-cleaning claims. |
| During delivery | Measure and inspect received cloths, separate damaged or inconsistent pieces and pack exact quantities on a clean counting surface. |
| At acceptance | Inspect sample packs for counts, size variation, stitching, contamination, and accurate labels, checking the actual cloths against the approved specification rather than a supplier photograph. |
| At the pilot review | Record batches, dimensions, rejected stitching, pack counts, material documentation, and task feedback so repeat orders preserve specification instead of substituting cloths on colour or apparent softness alone. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
Uneven dimensions and poor edges consume sorting labour, while misleading fibre labels undermine repeat orders even when cloths appear useful for ordinary cleaning tasks.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Record actual fibre composition, dimensions and manufacturer care/intended surfaces. | Do not infer quality from colour or a microfiber name alone. |
| 2 | Count100pieces and inspect seams, contamination and damage. | Separate rejects from saleable pieces. |
| 3 | Define twenty packs: five packs in each of four colours, with five same-colour cloths per pack. | Four colours×25cloths=100; each colour produces five packs. |
| 4 | Place five same-colour pieces in each clean pack with care/limitations card. | Do not repack returned/used cloths as new. |
| 5 | Count twenty packs and retain supplier lot reference. | No bleach/chemical compatibility is invented; follow manufacturer instructions. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Pack has mixed colours | Compare approved same-colour specification. | Repack and recount all twenty packs. |
| Cloth leaves lint | Check lot, intended use and manufacturer care. | Hold affected stock and investigate supplier quality. |
| Buyer expects sterile wipes | Review description and product evidence. | Clarify ordinary reusable cloth scope and do not substitute for sterile/medical use. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
