Original practice test publishing in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Create original practice tests for a defined learner group and topic coverage, specifying instructions, marking guidance, timing expectations, and how results should inform further study decisions.
The operating sequence for this offer is:
- Map the proposed test to specific skills and write original questions that avoid ambiguous wording or implied official examination status.
- Ask an independent subject reviewer to solve and mark the items, recording corrections to both questions and the answer guide.
- Pilot completion time and check that total marks, numbering and supplied answers reconcile before publishing the final test pack.
Put acceptance into the job record
Questions are original, instructions clear and marks reconcile with the answer guide.
Have independent reviewers solve every item, then trial a sample with learners to check ambiguity, answer options, marking consistency, and whether coverage matches the intended purpose.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Create original practice tests for a defined learner group and topic coverage, specifying instructions, marking guidance, timing expectations, and how results should inform further study decisions. |
| During delivery | Ask an independent subject reviewer to solve and mark the items, recording corrections to both questions and the answer guide. |
| At acceptance | Have independent reviewers solve every item, then trial a sample with learners to check ambiguity, answer options, marking consistency, and whether coverage matches the intended purpose. |
| At the pilot review | Record item objectives, reviewer solutions, disputed answers, learner timing observations, confusing wording, marking differences, and decisions to revise or remove items before releasing the final test. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
A practice test misleads learners when a high score comes from predictable answer patterns or ambiguous marking rather than a sound understanding of the intended subject material.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Allocate questions to multiplication, division and word problems. | Describe intended skills without claiming validated difficulty. |
| 2 | Use clear units and one intended answer. | Avoid unnecessary linguistic traps. |
| 3 | Reviewer solves without seeing author key. | Resolve discrepancies before scoring guide. |
| 4 | Remove answers/comments/hidden layers from candidate PDF. | Open exported file as a candidate would. |
| 5 | Use blank feedback form and record actual observations if tested. | No claimed reliability, grade prediction or test results without evidence. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Two plausible answers | Inspect wording/units. | Rewrite and re-review. |
| Key leaked in candidate file | Open final export and comments. | Regenerate clean candidate PDF. |
| Score treated as diagnosis | Review product wording. | Describe task performance only. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
