Picture frame making in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Measure the actual artwork and agree presentation, backing and glazing options, using appropriate specialist advice where valuable or sensitive material needs preservation beyond ordinary decorative framing.
The operating sequence for this offer is:
- Measure the artwork without damaging it and record frame, glazing, backing and hanging preferences on a client-approved order sheet.
- Obtain approval of material samples, assemble with appropriate protection and keep valuable artwork under a documented custody process.
- Inspect corners, backing and secure fit, reconcile the returned artwork and explain the selected hanging and care arrangements.
Put acceptance into the job record
Artwork fits securely and corners, backing and hanging details match the order.
Fit the artwork with the client present where practical, checking visible margins, clean glazing and the approved hanging arrangement before closing the frame and completing the handover.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Measure the actual artwork and agree presentation, backing and glazing options, using appropriate specialist advice where valuable or sensitive material needs preservation beyond ordinary decorative framing. |
| During delivery | Obtain approval of material samples, assemble with appropriate protection and keep valuable artwork under a documented custody process. |
| At acceptance | Fit the artwork with the client present where practical, checking visible margins, clean glazing and the approved hanging arrangement before closing the frame and completing the handover. |
| At the pilot review | Record artwork dimensions, approved margins, material choices and fitting corrections, then use the first orders to improve measurement instructions for customers requesting frames remotely through photographs or messages. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
The frame is made from the advertised print size instead of the actual sheet, leading to awkward cropping or refabrication when the customer finally brings the artwork for fitting.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Measure the actual prints and confirm visible opening, mat/backing and glazing with buyer. | A4 paper size alone does not define every rebate detail. |
| 2 | Maker selects stable moulding and approves corner/finish sample. | Glass handling/cutting remains with competent glazing provider. |
| 3 | Cut and dry-fit square mitres with suitable workholding. | Check diagonals and rebate fit before bonding. |
| 4 | Complete supported joints and finish, then fit compatible backing and hanging hardware. | No sharp glass edge or fastener contacts the artwork. |
| 5 | Inspect four frames, print fit and hanging limits; package protected corners. | No conservation or load claim without relevant evidence. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Corners open | Check mitre fit, joint method and material movement. | Correct before fitting artwork. |
| Print buckles | Review actual fit and backing/glazing contact. | Adjust compatible assembly without gluing valuable art. |
| Hanger loosens | Inspect frame material and full assembly mass. | Withdraw from hanging until properly corrected. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
