Property handover coordination in Kenya: Operations and Quality Checks

Deliver the agreed result consistently

Agree the handover checklist, attending parties and authority to accept keys or documents, separating coordination from decisions about contractual completion, defects or financial settlement.

The operating sequence for this offer is:

  1. Confirm the handover parties and authorized principal, listing keys, documents, inventory and access permissions expected to change hands at the appointment.
  2. Record each transferred item and unresolved discrepancy in the presence of the authorized parties, avoiding legal completion advice or unlicensed negotiation of terms.
  3. Obtain acknowledgements and send a final outstanding-items list, securely storing only necessary records and escalating missing documents through the principal's agreed process.

Put acceptance into the job record

The record identifies what changed hands and what remains outstanding.

Rehearse the sequence against the documents and keys to be exchanged, checking that each recipient can identify unresolved items before acknowledging what was actually received.

Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.

Measure real capacity

Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.

At the pilot reviewKeep attendance, exchanged item counts, acknowledged exceptions and follow-up responsibilities, preserving the parties’ own approvals rather than substituting the coordinator’s judgement for their acceptance decisions.

Keep a correction and escalation rule

When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.

A handover can appear complete while missing keys, unexplained meter readings or unsigned documents leave the parties with contradictory understandings of what was accepted during the meeting.

Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.

1Confirm the responsible parties, date, lawful possession/access arrangement and documents required. Prepare an agenda with five zones, key IDs, meter identities, manuals and open repairs; do not assume a scheduled appointment means the tenancy has legally commenced. The responsible principal confirms what may be handed over and who may accept it.
2Collect current approved inventory/condition reports and mark unavailable evidence. Invite both parties to identify items needing observation or comment, preserving their separate accounts rather than rewriting disagreement into a unanimous statement.Document versions and unresolved repairs are visible before the walkthrough.
3Walk the five zones and record plain observations or party comments within scope. Refer suspected technical faults to competent providers; do not operate a damaged appliance to demonstrate it for the handover. The record distinguishes observed, reported, not accessed and not tested.
4Count four keys jointly and identify the three manuals. Record the two meter displays only if serial/location and units are clear and access is safe; uncertain readings remain unresolved. Keep access secrets out of general report circulation. The receipt lists actual keys/manuals received, not an assumed standard set.
5Issue a handover note with date/time, items exchanged, party comments, outstanding action and responsible person. Obtain acknowledgement appropriate to the parties' actual process and send copies only through approved channels. The note does not falsely label receipt as agreement on legal liability or technical safety.

Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.

Diagnose a failure before repeating it

These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
