Property maintenance scheduling in Kenya: Customers and Market Demand

The buyer and the buying decision

Owners and licensed managers juggling routine repair requests. The offer to test is: Schedule authorized property maintenance without taking on unqualified technical work.

Build a maintenance calendar around the property’s actual equipment, recurring tasks and access constraints, assigning approval responsibility separately from the contractor’s technical method and execution.

Separate interest from an accepted order

Coordinate a few approved tasks at one property using existing suppliers.

The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.

Collect evidence specific to this offer

Log task owners, access lead times, missed reminders and completion evidence, noting where the schedule needs adjustment because actual equipment condition differs from initial assumptions.

Question to resolveEvidence to retain
What exactly will the buyer accept?Trial one scheduled task through notification, access, service and completion review, checking whether reminders reach someone who can authorise work and respond to unfinished findings.
What is included in the first trial?Build a maintenance calendar around the property’s actual equipment, recurring tasks and access constraints, assigning approval responsibility separately from the contractor’s technical method and execution.
How will a prospect see the offer?Offer a transparent tracker to licensed managers with clear spending boundaries.
What must happen before repeating the trial?Every task shows approval, responsible trade and completion status.

Decide whether to continue

Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. A calendar offers little protection when tasks recur automatically without checking previous completion or tenants receive reminders that nobody has authority or resources to act upon.

If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.

Turn the example into a buyer test

Fictional scheduling service: turn an owner's existing maintenance plan for a 12-unit building into a three-month calendar with 24 approved provider appointments and six named vendors. Deliver an asset/task register, access schedule, reminders and completion-evidence tracker. The owner and competent providers determine what needs servicing, technical intervals and urgency; the scheduler does not invent statutory frequencies, diagnose equipment or certify completion. Repairs, parts, testing and emergency response are separately contracted with suitable providers.

Buyer discussionEvidence to retain
Specification to confirmAll 24 appointments trace to an actual approved requirement or provider instruction.
Output to inspectAll 24 appointments reconcile without equating attendance, invoice receipt and technical completion.
Failure that can defeat acceptanceCalendar marks a service complete without evidence

Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.

What a failed test should change

Compare attendance, vendor note and required acceptance/test document.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
