KENYA · GUIDE 0584 · EDITION 4.7
Rental record system setup in Kenya: Customers and Market Demand
The buyer and the buying decision
Small landlords and property managers. The offer to test is: Configure rental record software using a landlords approved requirements.
Configure rental records around units, tenants, agreements, charges, receipts, and arrears definitions approved by the property manager before importing historical information.
Separate interest from an accepted order
Demonstrate units, charges and payments with fictional tenants.
The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.
Collect evidence specific to this offer
Record unit identifiers, source balances, unresolved disputes, test receipts, user corrections, permission checks, and manager approval of imported opening records separately.
| Question to resolve | Evidence to retain |
|---|---|
| What exactly will the buyer accept? | Have the manager trace sample payments, part payments, tenant changes, and disputed balances back to the source documents without overwriting unresolved differences. |
| What is included in the first trial? | Configure rental records around units, tenants, agreements, charges, receipts, and arrears definitions approved by the property manager before importing historical information. |
| How will a prospect see the offer? | Show landlords a reconciled fictional example and separate software licence costs. |
| What must happen before repeating the trial? | Totals reconcile and users can explain outstanding balances without unsupported data. |
Decide whether to continue
Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. The system misleads the landlord when opening balances are guessed or payments attach to similar tenant names instead of the correct tenancy.
If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.
Turn the example into a buyer test
Fictional rental-record setup RENT-84 creates a spreadsheet for six units with client-supplied opening balances, monthly charges and payment allocations. Example fixture: unitU03 has two approved 10,000 charges and 15,000 allocated payments, leaving an operational balance 5,000 before any adjustments. This arithmetic is fictional and is not a legal finding that a tenant owes a debt. Output is unit register, charge/payment tables, balance view and owner test sheet. Lease drafting, lawful-rent determination, penalties, tax filing, collections and tenant screening are excluded.
| Buyer discussion | Evidence to retain |
|---|---|
| Specification to confirm | A deposit is not automatically rent income or available to clear arrears; client/adviser must specify treatment. |
| Output to inspect | Owner can trace any displayed balance to transactions and approves opening values before using real records. |
| Failure that can defeat acceptance | New tenant shows previous arrears |
Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.
What a failed test should change
Check tenancy ID rather than unit alone.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
