Reusable bottle shop in Kenya: Equipment and Supplies

Buy for the acceptance standard

The procurement decision starts with the result you must deliver: No leakage in the appropriate test and no unsupported insulation or safety claims.

Ask customers to try the bottle inside their usual bag and follow the supported closure check, assessing opening effort, drinking access, and lid retention.

A tool or material is suitable only when it can support this specification at the pilot scale. Use the following shortlist as a starting point, not a compulsory shopping package:

  • Bottle samples
  • capacity labels
  • leak-test area
  • protective packs

Write comparable requests for quotations

Ask for the exact unit or pack size, rather than accepting a price without a quantity. Where equipment is involved, check maintenance needs, safe operation, available support and whether you can obtain replacement consumables. Inspect a sample or demonstration where practical. A photograph and a low asking price do not prove suitability or available stock.

Connect procurement to the operating sequence

  1. Check seals. Compare the physical sample with supplier dimensions and use instructions. Record any unsupported claim rather than repeating it in advertising.
  2. verify instructions. Write the selected dimensions or compatibility on the customer order. Ask for confirmation before ordering a non-returnable item.
  3. inspect drinking edges. Check closures, fixings, set contents or moving parts as applicable. Keep a dated record of defects found before dispatch.
  4. explain washing and temperature limits. Record dispatch condition and packing, then explain the actual warranty and care information supplied with that specific product.

At each step, identify the input whose absence would stop delivery. Arrange that input before accepting a deadline. Compare buying with suitable hire or a competent subcontractor, while keeping the responsibility for inspection and customer handover explicit.

Inspect before release to use

Retain the quote and check the delivered specification, quantity, condition and identifying details. Keep unsuitable items separate while you resolve the discrepancy. Record supplier identity and payment reference privately; do not post customer or supplier personal data in a public planning sheet.

Include sample inspection, replacement seals where available, damaged caps, bulky packaging, and returns caused by unsupported insulation expectations rather than the stated product specification.

Limit the first purchase to the agreed scope: Choose reusable bottles around commuting, school bags, or desk use, deciding which closure style customers can operate and which capacity fits their carrying space. Expand the resource list only when actual orders and measured capacity justify it.

Obtain written clarification of substitutions; compare only equivalent scopes. Match the delivered item against the same check before releasing it to use.

Supplier evidence and limits

  • AAH Everyday Claro Bottle Yellow 1.1 L 30850-Y: KSh 295.00 per one bottle; yellow 1.1 L empty bottle. Kikapu Chetu, recorded 2026-10-26. Page showed 4 left, insufficient for 12 unit promise. Tax, delivery, cleaning limits and current stock unconfirmed.

Any listing above is an earlier observation, not a fresh quotation or confirmed stock. Reconfirm suitability and landed cost. The supplier comparison in the operating pack separates purchase quantity from usable requirement when a minimum order creates surplus.
