Review response drafting in Kenya: Customers and Market Demand
The buyer and the buying decision
Businesses with public customer feedback. The offer to test is: Draft courteous review responses for owner approval.
Draft responses within the business's approved tone and complaint escalation process, identifying which reviews require an owner investigation rather than a public promise or defensive explanation.
Separate interest from an accepted order
Prepare responses to a small historical sample without posting them.
The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.
Collect evidence specific to this offer
Keep review references, verified facts, draft versions, owner approvals, escalation decisions, publication status, and subsequent customer replies that indicate whether the response clarified the next step.
| Question to resolve | Evidence to retain |
|---|---|
| What exactly will the buyer accept? | Have the owner check factual accuracy, privacy, empathy, and proposed next steps, including a complaint involving an unresolved transaction that should move to a private channel. |
| What is included in the first trial? | Draft responses within the business's approved tone and complaint escalation process, identifying which reviews require an owner investigation rather than a public promise or defensive explanation. |
| How will a prospect see the offer? | Show a business a few anonymized sample responses with escalation boundaries. |
| What must happen before repeating the trial? | Responses do not expose private customer facts or invent refunds and remedies. |
Decide whether to continue
Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. A quick response can worsen a complaint when it reveals customer details, argues about unverified events, or promises compensation the person approving replies cannot authorize personally.
If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.
Turn the example into a buyer test
Fictional reply-writing job REV-31 drafts responses to fifteen existing reviews for one café: ten positive, three service complaints and two allegations needing manager review. The output is a review-reference table with draft, factual question, approval and publication status. Sample complaint response: 'Thank you for describing your wait. Please contact [business channel] with your visit date so our manager can review the order privately.' Drafting does not include deleting legitimate criticism, buying reviews, revealing customer records or guaranteeing a rating increase.
| Buyer discussion | Evidence to retain |
|---|---|
| Specification to confirm | Do not import private customer information simply to personalise a public response. |
| Output to inspect | An approved draft is not marked publicly posted until its visible status is checked. |
| Failure that can defeat acceptance | Reply reveals a private order |
Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.
What a failed test should change
Compare draft with public review content and privacy scope.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
