School staff meal service in Kenya: Customers and Market Demand
The buyer and the buying decision
School administrators arranging staff lunches. The offer to test is: Supply meals for school staff under an authorized arrangement.
Define the staff-meal pilot through an authorized school arrangement and explicit payer, agreeing ordering cutoffs and collection points before the first production commitment.
Separate interest from an accepted order
Agree one short pilot and clarify whether the school or each staff member pays.
The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.
Collect evidence specific to this offer
Record purchase authority, confirmed orders, delivered meals and receipts, proving both handover and payment arrangements before committing to a longer school-term service schedule.
| Question to resolve | Evidence to retain |
|---|---|
| What exactly will the buyer accept? | Have the school contact reconcile labels and orders at handover, checking staff can collect the correct meals without confusion about institution-funded and private purchases. |
| What is included in the first trial? | Define the staff-meal pilot through an authorized school arrangement and explicit payer, agreeing ordering cutoffs and collection points before the first production commitment. |
| How will a prospect see the offer? | Approach the authorized administrator with clear menus, safety documentation and payment terms. |
| What must happen before repeating the trial? | Do not imply school approval or serve pupils outside the actual agreed scope. |
Decide whether to continue
Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. Unpaid meals accumulate when staff assume the school pays while administrators regard purchases as private, leaving satisfied diners but no agreed debtor for the invoice.
If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.
Turn the example into a buyer test
Fictional STAFF-155 supplies 15 school staff lunches on one pilot day, not pupil meals. Menu is bean stew, two chapati and cooked greens:30 chapati and 15 weighed stew/greens portions. Administrator confirms whether school pays one invoice or each staff member orders individually. No assumption that a school contract authorises feeding children.
| Buyer discussion | Evidence to retain |
|---|---|
| Specification to confirm | Keep staff meal scope separate from pupil feeding. |
| Output to inspect | Do not publish unpaid staff names. |
| Failure that can defeat acceptance | Payer unclear |
Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.
What a failed test should change
Check written school/individual arrangement.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
