Spreadsheet lessons in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Teach spreadsheets through a defined learner task, covering data structure, formulas, references, checking, and saving, with examples relevant to the learner's work or studies.
The operating sequence for this offer is:
- Identify the learner's everyday spreadsheet task and prepare a small fictional dataset with clear column headings and typed values.
- Build simple formulas visibly and test changed inputs together so the learner understands references instead of copying unexplained results.
- Give the learner a fresh sample record to enter and check, recording any formula or data-entry errors for follow-up.
Put acceptance into the job record
The learner can enter data and inspect a formula, rather than relying on unexplained automation.
Ask learners to modify the example independently and detect a deliberately incorrect formula, checking understanding of references rather than the ability to reproduce a demonstration.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Teach spreadsheets through a defined learner task, covering data structure, formulas, references, checking, and saving, with examples relevant to the learner's work or studies. |
| During delivery | Build simple formulas visibly and test changed inputs together so the learner understands references instead of copying unexplained results. |
| At acceptance | Ask learners to modify the example independently and detect a deliberately incorrect formula, checking understanding of references rather than the ability to reproduce a demonstration. |
| At the pilot review | Record learner tasks, formula choices, reference errors, validation attempts, independently corrected mistakes, and follow-up topics that will make the spreadsheet useful in actual daily work. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
Training fails when learners produce an attractive table but extend formulas incorrectly or treat calculated results as trustworthy without checking the source data and logic.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Use fictional item names and numeric quantity/price cells. | Numbers are not stored as currency text. |
| 2 | Enter =B2*C2 in D2. | Result is 100. |
| 3 | Copy down to D5 and inspect each formula. | Last row references B5/C5. |
| 4 | Enter =SUM(D2:D5). | Total is 340 and excludes header. |
| 5 | Change B2 to three; total becomes 390, then restore. | Learner saves and reopens own copy. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Total stays unchanged | Check calculation mode/formulas. | Restore automatic calculation where appropriate. |
| All rows show same total | Inspect absolute references. | Use correct relative row references. |
| SUM misses row | Check selected range. | Include D2 through D5 and retest. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
