Supplier quotation comparison in Kenya: Registration and Activity Checks

Define the activity that authorities need to assess

Compare quotations on a like-for-like specification and disclose missing information.

Compare supplier quotations for a defined purchase using the buyer's specifications, separating base price from delivery, installation, exclusions, payment terms, lead times, and assumptions that make apparently similar offers materially different before any recommendation is presented.

Describe that exact operation when checking requirements. State where the work takes place, whether customers enter the premises, who performs technical tasks and whether you manufacture, resell, deliver or coordinate the service. Requirements can change with these facts; a broad business category is not a complete permit determination.

Sector questions to investigate

  • Determine whether the service acts as a data processor, and assess registration applicability with ODPC.
  • Agree purpose, authorized access, retention and incident contacts before receiving client records.
  • Do not undertake regulated legal, tax, audit or other qualified professional work under an administration label.

Keep registration separate from permission to operate

A registered business name does not itself establish approval of premises, products or professional work. Use the Business Registration Service to check the appropriate registration route. Ask the relevant county office which premises and trading checks apply to the actual activity. Confirm tax and invoicing obligations with KRA for your circumstances rather than copying another trader's treatment.

Prepare a written enquiry

Information to provideBusiness-specific starting point
Proposed outputCompare quotations on a like-for-like specification and disclose missing information.
Scope and exclusionsCompare supplier quotations for a defined purchase using the buyer's specifications, separating base price from delivery, installation, exclusions, payment terms, lead times, and assumptions that make apparently similar offers materially different before any recommendation is presented.
First operating stepAgree the required specification and evaluation criteria, then collect comparable quotations and mark missing delivery, warranty or tax information for clarification.
Quality and acceptanceAsk the buyer to review a side-by-side comparison against original quotations, checking omitted items, differing quantities, warranty wording as supplied, and whether each supplier actually quoted the requested specification rather than a cheaper alternative product or service.

Add the county, location, premises arrangement, scale, equipment and responsible person's qualifications. Ask which authority handles an issue if it falls outside the first office's remit. Record the answer, reference link, date checked and any renewal or inspection condition. A guide's reference list is a route to verification, not an approval document.

Decide what must wait

Do not offer a regulated service or make a safety, accreditation or certification claim that you cannot substantiate. Resolve an unanswered prerequisite before accepting work that depends on it. A demand interview can often precede trading; a paid or physical trial still needs the appropriate permissions and safe arrangements.

The cheapest headline quote can become the costliest practical choice when required accessories, transport, commissioning, or replacement terms were excluded and the comparison silently treated those missing elements as equivalent to fully included supplier offerings being evaluated together.

No universal licence package, current fee or exemption is asserted here. The official links below support only their stated scope.

Prepare a precise activity enquiry

Describe this actual operating scope to the relevant authority or competent adviser: Fictional comparison QTE-72 compares three client-supplied quotations for ten identical-specification office chairs. Output is a line-by-line matrix of specification, quantity, price basis, delivery, assembly, warranty wording, lead time and unresolved questions. Worked example: supplierA at 1,800 per chair plus 500 delivery totals 18,500; supplierB at 1,750 plus 1,400 delivery totals 18,900. These invented figures illustrate why a lower unit price can cost 400 more overall. No supplier endorsement, technical chair certification or purchasing authority is included.

Use these operating details to make the enquiry specific:

Detail to discloseWhy it can affect the answer
Three complete quotes - Same request scope plus supplier terms and validity.Explain the actual premises, scale, use and who will perform the task. Ask which current rule applies to these facts.
Comparison workbook - Consistent quantities and explicit total formula columns.Explain the actual premises, scale, use and who will perform the task. Ask which current rule applies to these facts.
Clarification log - Question, supplier/client owner and response evidence.Explain the actual premises, scale, use and who will perform the task. Ask which current rule applies to these facts.

Keep the reply date, official source, exact activity facts and any conditions together. This is an enquiry preparation method, not a determination that a licence, exemption or fee applies. The earlier source dates do not mean legal requirements were rechecked today. Resolve these outstanding checks before relying on a broad business description:

  • No real supplier quote, chair specification or current price verified.
  • Comparison is administrative support, not technical certification or procurement award.
