Travel booking administration in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Support authorized travel bookings within a written itinerary and budget, separating research, reservation approval, traveller details, change authority, and provider terms, with clear responsibility for passports, visas, and eligibility decisions that require the traveller or a competent specialist's confirmation before purchasing arrangements.
The operating sequence for this offer is:
- Record the travellers verified details, budget and approval limits, then compare supplier terms and document which requirements need official or specialist confirmation.
- Prepare itinerary options and obtain explicit purchasing approval before booking, recording cancellation and change terms rather than implying visa eligibility.
- Check confirmations against passenger details, hand over the itinerary securely and record responsibility for changes, refunds and travel-document decisions.
Put acceptance into the job record
Passenger details and cancellation terms are checked against authoritative information.
Ask the traveller to compare the proposed itinerary with meeting times, names, transfers, accommodation dates, baggage needs, and cancellation conditions, then approve the exact provider offer before any booking is treated as ready for the authorized purchase or final confirmation process to proceed.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Support authorized travel bookings within a written itinerary and budget, separating research, reservation approval, traveller details, change authority, and provider terms, with clear responsibility for passports, visas, and eligibility decisions that require the traveller or a competent specialist's confirmation before purchasing arrangements. |
| During delivery | Prepare itinerary options and obtain explicit purchasing approval before booking, recording cancellation and change terms rather than implying visa eligibility. |
| At acceptance | Ask the traveller to compare the proposed itinerary with meeting times, names, transfers, accommodation dates, baggage needs, and cancellation conditions, then approve the exact provider offer before any booking is treated as ready for the authorized purchase or final confirmation process to proceed. |
| At the pilot review | Keep itinerary versions, traveller approvals, quoted availability, provider terms, booking references, name checks, change requests, and outstanding eligibility questions, ensuring the traveller receives a coherent final schedule and understands which matters remain their responsibility or require confirmation from the relevant travel provider or authority. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
Travel administration fails when a seemingly cheaper itinerary arrives after the business meeting, uses a different traveller name, or leaves an overnight transfer gap that was hidden in separate booking confirmations nobody compared as a complete journey before the authorized purchase was actually made.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Ask traveller for dates, acceptable airports, meeting constraints, baggage and name as required by carrier. | Do not collect passport copies or unrelated identity data unless actually necessary and properly authorised. |
| 2 | Record each option's live quote time, inclusions and fare rules from carrier/authorised agent. | A search result or unissued reservation is not a ticket or guaranteed fare. |
| 3 | Show airport differences, baggage and change/refund wording rather than headline fare alone. | Local dates/times and overnight changes are unambiguous; ground transfers are not silently included. |
| 4 | Have traveller approve name, route, dates and terms on the actual booking interface/document. | Traveller enters payment and authentication themselves; administrator does not retain card or login details. |
| 5 | Match booked itinerary and passenger name with approved option and note carrier support routes for corrections. | Booking reference is shared only through an appropriate private channel; travel requirements remain the traveller's responsibility with official guidance. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Name differs after booking | Compare confirmation with traveller-approved name. | Contact the carrier through its official correction process; do not promise free changes. |
| Cheap fare lacks needed bag | Review exact inclusion and optional-fee terms. | Show total with required baggage before traveller approval. |
| Quote changes at payment | Check timestamp and whether fare was held. | Seek fresh traveller approval rather than authorising a higher amount silently. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
