Cooking oil retail in Kenya: Equipment and Supplies
Buy for the acceptance standard
The procurement decision starts with the result you must deliver: Genuine correctly labelled product with quantity and packaging integrity preserved.
Have customers inspect a trial purchase for intact seals, correct brand and volume information, readable labels, and manageable pouring from the proposed pack size.
A tool or material is suitable only when it can support this specification at the pilot scale. Use the following shortlist as a starting point, not a compulsory shopping package:
- Shelving
- sealed stock
- purchase records
- spill control materials
Write comparable requests for quotations
| Resource | Questions for the supplier |
|---|---|
| Shelving | Confirm the precise variant, usable quantity, compatibility, delivered cost, lead time, invoice and remedy for a mismatch. |
| sealed stock | Confirm the precise variant, usable quantity, compatibility, delivered cost, lead time, invoice and remedy for a mismatch. |
| purchase records | Confirm the precise variant, usable quantity, compatibility, delivered cost, lead time, invoice and remedy for a mismatch. |
| spill control materials | Confirm the precise variant, usable quantity, compatibility, delivered cost, lead time, invoice and remedy for a mismatch. |
Ask for the exact unit or pack size, rather than accepting a price without a quantity. Where equipment is involved, check maintenance needs, safe operation, available support and whether you can obtain replacement consumables. Inspect a sample or demonstration where practical. A photograph and a low asking price do not prove suitability or available stock.
Connect procurement to the operating sequence
- Inspect seals and labels. Record supplier, delivery date and rejected quantity against the received lot. Keep traceability separate from your daily sales totals.
- retain supplier invoices. Keep grades or product lots identified so the buyer can check what was promised before the order is packed.
- rotate stock. Measure saleable quantity and loss separately, including damaged stock. Never include discarded goods in the quantity reported as sold.
- keep oil away from damaging storage conditions. Reconcile the order, delivered quantity and payment. Log substitutions, complaints and spoilage before calculating the next purchase.
At each step, identify the input whose absence would stop delivery. Arrange that input before accepting a deadline. Compare buying with suitable hire or a competent subcontractor, while keeping the responsibility for inspection and customer handover explicit.
Inspect before release to use
Retain the quote and check the delivered specification, quantity, condition and identifying details. Keep unsuitable items separate while you resolve the discrepancy. Record supplier identity and payment reference privately; do not post customer or supplier personal data in a public planning sheet.
Include leakage, heavy-pack transport, damaged caps, protected storage, supplier minimum orders, and capital committed to large packs that smaller household customers rarely purchase.
Limit the first purchase to the agreed scope: Choose sealed cooking-oil pack sizes around household cash flow or documented kitchen demand, keeping any dispensing proposal separate until its controls are established. Expand the resource list only when actual orders and measured capacity justify it.
Exact procurement specifications for this offer
| Item | Specification to quote | Acceptance evidence |
|---|---|---|
| Master Chef Premium 3 L oil | 12 original jerrycans; confirm actual manufacturer SKU. | Observed 875 per jerrycan, not six-pack case; request current quote and original ingredient label. |
| Transit crate/support | Support twelve upright units with safe vehicle loading. | Check pack strength and chemical separation; no fake leakproof assurance. |
| Unit receipts | 12 unit lines with lot and original pack information. | Show returns for seal/defect handling before payment. |
A usable quotation states the exact variant, comparison unit, minimum order, delivered quantity, tax, delivery charge, payment dates, expiry and exclusions. Obtain written clarification of substitutions; compare only equivalent scopes. Match the delivered item against the same check before releasing it to use.
Supplier evidence and limits
- MASTER CHEF PREMIUM COOKING OIL6×3 LTR: KSh 875.00 per one 3 L jerrycan as listed; catalogue title; shown 875 per Jerican. Sam West, recorded 2026-10-26. Do not treat 875 as six-unit case price. Confirm actual variant, unit, tax, delivery and stock.
Any listing above is an earlier observation, not a fresh quotation or confirmed stock. Reconfirm suitability and landed cost. The supplier comparison in the operating pack separates purchase quantity from usable requirement when a minimum order creates surplus.
