Customer survey service in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Design a short survey around a decision the business can actually make, defining respondent eligibility, recruitment method, sensitive questions to omit, and the limits of interpretation.
The operating sequence for this offer is:
- Identify the specific business decision and suitable audience, then write neutral questions and a proportionate notice explaining the response data collected.
- Pilot the form, correct confusing questions and recruit respondents through approved channels without pretending the sample represents everyone.
- Report recruitment method, response count and limitations alongside findings, and hand over or delete identifiable responses under agreed instructions.
Put acceptance into the job record
Results retain sample size, recruitment method and uncertainty.
Ask trial respondents to explain each question in their own words, then check whether collected answers can support the intended decision without forcing unsupported generalizations later.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Design a short survey around a decision the business can actually make, defining respondent eligibility, recruitment method, sensitive questions to omit, and the limits of interpretation. |
| During delivery | Pilot the form, correct confusing questions and recruit respondents through approved channels without pretending the sample represents everyone. |
| At acceptance | Ask trial respondents to explain each question in their own words, then check whether collected answers can support the intended decision without forcing unsupported generalizations later. |
| At the pilot review | Record recruitment sources, respondent eligibility checks, misunderstood questions, missing answers, analysis decisions, observed sample limitations, and the specific business action each finding could reasonably inform afterward. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
The survey fails when it gathers enthusiastic opinions from easy-to-reach friends and presents them as evidence of demand among the business' s actual paying customers locally today.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Ask owner whether the result will inform opening hours or booking-channel instructions; select one primary decision. | Every question informs that decision rather than collecting interesting but unnecessary personal facts. |
| 2 | Use one topic per question, balanced response choices and an optional comment without forced personal identification. | Avoid ' How excellent was our service?' and separate waiting time from repair quality. |
| 3 | Ask two consenting testers to explain what each question means without coaching their answer. | Revise ambiguous wording and exclude those test responses from the thirty-response dataset. |
| 4 | Use the approved invitation stating voluntary participation, purpose and closing date. Keep refusal separate from missing responses. | Do not let staff select only satisfied customers or answer on behalf of absent customers. |
| 5 | Count answers per question and show nonresponse and multiple-choice rules explicitly. | If 18 of 24 answer a question positively, report 18/24, not 18/30 or 75% of all customers. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Question has many blanks | Check pilot wording and whether the form skipped it unintentionally. | Report missingness and correct future collection without inventing answers. |
| Percentages exceed 100 | Check whether multiple responses were allowed. | Label multiple-choice results or fix coding; keep original exports. |
| Staff submit on customers' behalf | Compare timestamps and collection method. | Separate unverifiable records and restate voluntary respondent-completion rules. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
