Local repair booking directory in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
List repair providers by verified service scope, coverage, booking process, and diagnostic boundaries, explaining who quotes, collects payment, authorizes parts, and handles complaints about completed repair work.
The operating sequence for this offer is:
- Select a narrow repair category and service area, verify provider identity and competence evidence, and explain who contracts with the customer.
- Require clear estimate and authorization arrangements before a booking, disclose any referral commission, and give the customer the provider's actual contact.
- Track completion and complaints, withdraw misleading or unsafe listings, and avoid presenting the directory as the technical repairer.
Put acceptance into the job record
Customer receives clear provider details and estimate process
Trial a booking enquiry and check provider identity, appointment confirmation, diagnostic fee disclosure, authorization before extra work, and the handover information supplied when a repair cannot be completed.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | List repair providers by verified service scope, coverage, booking process, and diagnostic boundaries, explaining who quotes, collects payment, authorizes parts, and handles complaints about completed repair work. |
| During delivery | Require clear estimate and authorization arrangements before a booking, disclose any referral commission, and give the customer the provider's actual contact. |
| At acceptance | Trial a booking enquiry and check provider identity, appointment confirmation, diagnostic fee disclosure, authorization before extra work, and the handover information supplied when a repair cannot be completed. |
| At the pilot review | Keep provider scope, enquiry details, appointment outcomes, quotation changes, complaint referrals, and customer feedback about communication so later bookings match actual repair capability and service availability more reliably. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
A booking service becomes misleading when it advertises a fixed repair price before diagnosis or assigns an unfamiliar provider whose competence has not been appropriately checked for the requested work.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Record identity/business contact, actual repair categories, qualification evidence where relevant, workshop location and exclusions. | A claimed skill is not converted into an unsupported certification badge. |
| 2 | Collect item type/model, symptom, warranty status and preferred area without requesting passwords or sensitive files. | Customer permission covers sharing the enquiry with the selected repairer only. |
| 3 | Publish approved hours, diagnostic-fee policy, collection options and named complaint contact. | No fixed repair price appears where inspection is necessary. |
| 4 | Send the customer an introduction and require a written diagnosis/quote before repair authorisation. | The customer knows who holds the item and who receives payment. |
| 5 | Log booked, declined, completed or unresolved separately; obtain consent before publishing a review. | A booking is counted only when the repairer confirms it, and completion is not assumed. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Wrong type of repair reaches a provider | Compare requested model with approved scope. | Reroute with customer permission and update the category filters. |
| Customer disputes an unapproved repair | Check the dated written estimate and acceptance. | Pause the booking record for direct resolution; do not invent an authorisation. |
| Provider is unavailable | Check the last availability update. | Hide new booking slots and offer the customer a choice of another verified provider. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
