Move-in condition reports in Kenya: Customers and Market Demand

The buyer and the buying decision

Landlords, licensed managers and incoming tenants. The offer to test is: Prepare move-in condition records documenting observable conditions at handover.

Capture the unit’s observable starting condition before occupation, agreeing who attends and how comments from the incoming tenant and owner will be recorded without resolving disputes.

Separate interest from an accepted order

Trial one jointly attended handover with written permission and an agreed checklist.

The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.

Collect evidence specific to this offer

Keep attendance, inspection timing, outstanding checks, party comments and version approvals, preserving original photographs separately from any later annotations added while clarifying the handover record.

Question to resolveEvidence to retain
What exactly will the buyer accept?Review doors, surfaces and supplied fittings against dated photographs with the parties, checking that qualifications and inaccessible areas remain visible in the signed final record.
What is included in the first trial?Capture the unit’s observable starting condition before occupation, agreeing who attends and how comments from the incoming tenant and owner will be recorded without resolving disputes.
How will a prospect see the offer?Offer a neutral factual reporting service through licensed management partners.
What must happen before repeating the trial? The report states who attended and which observations were agreed or disputed.

Decide whether to continue

Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. A move-in report loses usefulness when rushed signatures mask incomplete checks or photographs cannot show whether a disputed mark existed before the tenant brought belongings inside.

If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.

Turn the example into a buyer test

Fictional move-in record: document one vacant two-bedroom flat immediately before a tenant's handover, covering five zones and 22 selected photographs. Record visible walls, ceilings, floors, doors/windows, kitchen/bath fittings and supplied key counts; reference any separate movable-item inventory. Deliver a dated condition schedule with tenant/landlord comment sections. This is documentary observation, not a building survey, habitability certificate, structural diagnosis, rent valuation or a legal decision about deposit deductions.

Buyer discussionEvidence to retain
Specification to confirmThe report's date and limitations describe the actual stage of possession rather than assuming a pristine preoccupation baseline.
Output to inspectAcknowledgement of receipt is not falsely labelled agreement with every condition or a waiver of rights.
Failure that can defeat acceptanceTenant identifies an omitted mark

Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.

What a failed test should change

Check visit notes and original images.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
