Proof-of-delivery record service in Kenya: Customers and Market Demand
The buyer and the buying decision
Retailers and small delivery operators. The offer to test is: Set up a proof-of-delivery process without claiming to certify the underlying transaction.
Offer delivery evidence administration tied to the client's parcel references, defining acceptable signatures or images, missing-evidence follow-up, access permissions, and the correction process for mistaken records.
Separate interest from an accepted order
Pilot a record form on a controlled set of deliveries.
The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.
Collect evidence specific to this offer
Record parcel references, evidence type, submission times, identity mismatches, missing fields, follow-up outcomes, access tests, and client acceptance of each corrected delivery record during the pilot.
| Question to resolve | Evidence to retain |
|---|---|
| What exactly will the buyer accept? | Ask a client administrator to retrieve evidence for sampled deliveries, including duplicate references and an incomplete receipt, without exposing unrelated recipients or accepting unverifiable completion claims. |
| What is included in the first trial? | Offer delivery evidence administration tied to the client's parcel references, defining acceptable signatures or images, missing-evidence follow-up, access permissions, and the correction process for mistaken records. |
| How will a prospect see the offer? | Offer retailers an auditable sample using fictional recipient information. |
| What must happen before repeating the trial? | Delivery records link order, recipient authorization and exceptions; data collection is proportionate. |
Decide whether to continue
Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. A photograph proves little when it cannot be linked to the correct parcel, authorized recipient, and handover event within the client's own delivery records reliably.
If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.
Turn the example into a buyer test
Fictional proof-of-delivery record project POD-20 organises fifty existing delivery events supplied by a small wholesaler into a searchable reference register and weekly exception report. It is record preparation, not a courier service or independent verification that delivery occurred. The sample row has order O024, package P024, carrier reference, sender-provided delivery time, receiver role, evidence-file link and status 'missing receiver acknowledgement'. The operator labels source records and uncertainty rather than constructing missing signatures. The client retains original evidence and decides who may access personal information. No legal opinion on evidential sufficiency or debt collection is included.
| Buyer discussion | Evidence to retain |
|---|---|
| Specification to confirm | No empty field is filled from guesswork; a shipment booking is distinguished from a delivered-status record. |
| Output to inspect | Totals of statuses equal fifty and access permissions work for both authorised and unauthorised test roles. |
| Failure that can defeat acceptance | One order appears twice |
Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.
What a failed test should change
Check package references and source filenames to distinguish duplicates from genuine multi-piece deliveries.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
