Roasted coffee packing in Kenya: Equipment and Supplies

Buy for the acceptance standard

The procurement decision starts with the result you must deliver: Avoid unsupported origin, grade or freshness claims; match the grind to the promised use.

Have the customer brew a supplier-approved sample with their usual equipment, assessing grind suitability and flavour rather than relying on a demonstration prepared another way.

A tool or material is suitable only when it can support this specification at the pilot scale. Use the following shortlist as a starting point, not a compulsory shopping package:

  • traceable roasted beans
  • scales
  • appropriate barrier packs
  • batch labels

Write comparable requests for quotations

Ask for the exact unit or pack size, rather than accepting a price without a quantity. Where equipment is involved, check maintenance needs, safe operation, available support and whether you can obtain replacement consumables. Inspect a sample or demonstration where practical. A photograph and a low asking price do not prove suitability or available stock.

Connect procurement to the operating sequence

  1. Confirm the coffee supplier, actual origin information, whole-bean or grind format and current activity-specific trading requirements before accepting a packing lot.
  2. Keep roast and received dates, lot identities, packing work and net filled weights linked, avoiding unsupported grade or origin statements in the product record.
  3. Check the pack format and brew-use description, record customer deliveries and stock age and separate stale or returned stock from the next saleable lot.

At each step, identify the input whose absence would stop delivery. Arrange that input before accepting a deadline. Compare buying with suitable hire or a competent subcontractor, while keeping the responsibility for inspection and customer handover explicit.

Inspect before release to use

Retain the quote and check the delivered specification, quantity, condition and identifying details. Keep unsuitable items separate while you resolve the discrepancy. Record supplier identity and payment reference privately; do not post customer or supplier personal data in a public planning sheet.

Include supplier requirements, properly arranged grinding, packaging, samples and slow stock, calculating returns on accepted packs rather than comparing unlike wholesale beans and retail products.

Limit the first purchase to the agreed scope: Choose traceable roasted coffee for a customer's brewing method, confirming the business's applicable trading role before selecting grind options or making unsupported origin claims. Expand the resource list only when actual orders and measured capacity justify it.

A usable quotation states the exact variant, comparison unit, minimum order, delivered quantity, tax, delivery charge, payment dates, expiry and exclusions. Obtain written clarification of substitutions; compare only equivalent scopes. Match the delivered item against the same check before releasing it to use.

Supplier evidence and limits

  • Roasted Coffee 1 kg: KSh 1,200.00 per one 1 kg retail pack; Direct e-shop product titled Roasted Coffee 1 kg; beans/grind not resolved from shared product images. Kiambu Coffee Marketing, recorded 2026-10-26. Displayed KES1200. Tax/freight, stock, exact roast/grade/form and repacking rights unspecified. Different 250 g and 500 g retail prices are not interpolated into wholesale rates.

Any listing above is an earlier observation, not a fresh quotation or confirmed stock. Reconfirm suitability and landed cost. The supplier comparison in the operating pack separates purchase quantity from usable requirement when a minimum order creates surplus.
