Office document delivery in Kenya: Customers and Market Demand
The buyer and the buying decision
Professional offices and small companies. The offer to test is: Move sealed business documents with documented chain of custody.
Offer a scheduled circuit between named offices, specifying envelope identifiers, handover authority, return instructions, and how urgent additions affect the existing route.
Separate interest from an accepted order
Trial a short office route with no sensitive originals unless expressly authorized.
The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.
Collect evidence specific to this offer
Record collection and reception timestamps, seal observations, recipient authority checks, failed handover reasons, and the final disposition of every trial envelope separately.
| Question to resolve | Evidence to retain |
|---|---|
| What exactly will the buyer accept? | Ask an administrator to reconcile collected and delivered seals against signatures, including a deliberately unavailable recipient and an envelope needing authorized return. |
| What is included in the first trial? | Offer a scheduled circuit between named offices, specifying envelope identifiers, handover authority, return instructions, and how urgent additions affect the existing route. |
| How will a prospect see the offer? | Approach office administrators with a clear confidentiality and custody procedure. |
| What must happen before repeating the trial? | Seal and custody record remain intact; receipt is traceable. |
Decide whether to continue
Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. A receptionist accepting an envelope without sender approval can break the custody agreement even when the package reaches the correct building address.
If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.
Turn the example into a buyer test
Fictional job card DOC-02: a consulting office orders collection of six sealed A4 document envelopes from its reception and delivery to three named offices in the same town during one morning. The deliverable is six matched custody entries, recipient acknowledgements and a returned exception envelope if necessary. No opening, copying, filing with a court, representing a lawyer or accepting unspecified originals is included. Each sender provides a package reference rather than writing the document contents on the visible transport label.
| Buyer discussion | Evidence to retain |
|---|---|
| Specification to confirm | The sender signs against six references and confirms that all seals are intact before custody changes. |
| Output to inspect | Six envelopes have six final outcomes; a pending delivery is never marked completed for invoicing. |
| Failure that can defeat acceptance | Recipient disputes receipt |
Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.
What a failed test should change
Compare the envelope reference and approved recipient list with the acknowledgement.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
