Office document delivery in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Offer a scheduled circuit between named offices, specifying envelope identifiers, handover authority, return instructions, and how urgent additions affect the existing route.
The operating sequence for this offer is:
- Agree the permitted service and recipient authority, then record envelope identity, collection time and special custody instructions without opening contents.
- Log every transfer, keep sealed items secure and seek sender instructions if the named recipient cannot accept delivery.
- Obtain approved delivery evidence, return any undelivered originals securely and reconcile custody records before closing the assignment.
Put acceptance into the job record
Seal and custody record remain intact; receipt is traceable.
Ask an administrator to reconcile collected and delivered seals against signatures, including a deliberately unavailable recipient and an envelope needing authorized return.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Offer a scheduled circuit between named offices, specifying envelope identifiers, handover authority, return instructions, and how urgent additions affect the existing route. |
| During delivery | Log every transfer, keep sealed items secure and seek sender instructions if the named recipient cannot accept delivery. |
| At acceptance | Ask an administrator to reconcile collected and delivered seals against signatures, including a deliberately unavailable recipient and an envelope needing authorized return. |
| At the pilot review | Record collection and reception timestamps, seal observations, recipient authority checks, failed handover reasons, and the final disposition of every trial envelope separately. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
A receptionist accepting an envelope without sender approval can break the custody agreement even when the package reaches the correct building address.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Number envelopes D01–D06 and record destination, authorised recipient, sender contact and any return deadline. Ask the office to distinguish an ordinary copy from an irreplaceable original. | The sender signs against six references and confirms that all seals are intact before custody changes. |
| 2 | Call each reception using the sender-approved contact list. Record entrance instructions and whether its named recipient or a specifically authorised alternate is present. | All three destinations have an acceptance window; do not substitute an unknown person who happens to answer a phone. |
| 3 | Put the envelopes in a closed bag ordered by stop, keeping destination information inside. Log the time and identity of any agreed handover to a second runner. | The number of envelopes in the bag equals outstanding manifest lines after every stop. |
| 4 | Present only the relevant envelope, confirm recipient authority and collect the agreed signature, name and time. Use a private record rather than photographing confidential contents. | The delivery reference, person and timestamp are legible and correspond to the correct stop. |
| 5 | Return refused or inaccessible envelopes with the original seal. Give the administrator a delivery summary separating accepted, returned and awaiting instructions. | Six envelopes have six final outcomes; a pending delivery is never marked completed for invoicing. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Recipient disputes receipt | Compare the envelope reference and approved recipient list with the acknowledgement. | Ask the sender to resolve authority; retain the original record and do not create a replacement signature. |
| Seal appears damaged | Check intake notes and the latest transfer entry. | Stop that handover, photograph only the exterior with permission and seek sender instructions. |
| Office is closed | Check the confirmed window and the administrator's return deadline. | Record an attempted delivery and return securely rather than leaving documents with neighbouring tenants. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
