Receipt roll distribution in Kenya: Equipment and Supplies

Buy for the acceptance standard

The procurement decision starts with the result you must deliver: Correct feeding and readable print on approved stock

Test an approved sample in the intended printer, checking feed, fit, output readability and labelled specification before ordering larger quantities for recurring customer supply.

A tool or material is suitable only when it can support this specification at the pilot scale. Use the following shortlist as a starting point, not a compulsory shopping package:

  • roll stock
  • caliper
  • printer compatibility list

Write comparable requests for quotations

ResourceQuestions for the supplier
roll stockConfirm the precise variant, usable quantity, compatibility, delivered cost, lead time, invoice and remedy for a mismatch.
caliperConfirm the precise variant, usable quantity, compatibility, delivered cost, lead time, invoice and remedy for a mismatch.
printer compatibility listConfirm the precise variant, usable quantity, compatibility, delivered cost, lead time, invoice and remedy for a mismatch.

Ask for the exact unit or pack size, rather than accepting a price without a quantity. Where equipment is involved, check maintenance needs, safe operation, available support and whether you can obtain replacement consumables. Inspect a sample or demonstration where practical. A photograph and a low asking price do not prove suitability or available stock.

Connect procurement to the operating sequence

  1. Record the printer model, required roll width, diameter and core size, measuring an accepted roll instead of guessing compatibility.
  2. Test a sample in the buyer's actual printer where permitted, check print readability, and label compatible stock accurately.
  3. Count delivered rolls, protect them from unsuitable storage conditions, and record model-specific returns so recurring fit errors are corrected.

At each step, identify the input whose absence would stop delivery. Arrange that input before accepting a deadline. Compare buying with suitable hire or a competent subcontractor, while keeping the responsibility for inspection and customer handover explicit.

Inspect before release to use

Retain the quote and check the delivered specification, quantity, condition and identifying details. Keep unsuitable items separate while you resolve the discrepancy. Record supplier identity and payment reference privately; do not post customer or supplier personal data in a public planning sheet.

Include freight, carton storage, mixed variants, damaged edges, sample trials and slow machine-specific stock, especially when one customer operates several different printer models across locations.

Limit the first purchase to the agreed scope: Match rolls to customers' actual printer requirements using specifications and a physical sample, avoiding broad descriptions such as standard till roll that conceal different machine needs. Expand the resource list only when actual orders and measured capacity justify it.

Exact procurement specifications for this offer

ItemSpecification to quoteAcceptance evidence
Thermal rollsOne hundred approved rolls; candidate 80 mm width × 80 mm diameter × 13 mm core requires actual printer approval.Check dimensions and length/grammage documentation; do not compare rolls on diameter alone.
Carton packagingTwo original fifty-roll cartons with dry protective wrapping.Verify sealed count and inspect crush/moisture damage.
Technical approvalPrinter model/manual and signed sample note from the shop’s authorised operator.Use Epson documentation only for that Epson model, not another brand.

A usable quotation states the exact variant, comparison unit, minimum order, delivered quantity, tax, delivery charge, payment dates, expiry and exclusions. Obtain written clarification of substitutions; compare only equivalent scopes. Match the delivered item against the same check before releasing it to use.

Supplier evidence and limits

  • Thermal Paper Rolls EVK-PKL-038: KSh 150.00 per one roll as unit price; supplier says sold by carton of fifty; 80 mm width × 80 mm outside diameter × 13 mm core; carton of fifty rolls. Evanka Online Nairobi, recorded 2026-10-26. Observed asking price; supplier states order-specific price/availability confirmation. Tax and delivered cost unclear; no verified length, universal compatibility or chemical-content claim.

Any listing above is an earlier observation, not a fresh quotation or confirmed stock. Reconfirm suitability and landed cost. The supplier comparison in the operating pack separates purchase quantity from usable requirement when a minimum order creates surplus.
