Receipt roll distribution in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Match rolls to customers' actual printer requirements using specifications and a physical sample, avoiding broad descriptions such as standard till roll that conceal different machine needs.
The operating sequence for this offer is:
- Record the printer model, required roll width, diameter and core size, measuring an accepted roll instead of guessing compatibility.
- Test a sample in the buyer's actual printer where permitted, check print readability, and label compatible stock accurately.
- Count delivered rolls, protect them from unsuitable storage conditions, and record model-specific returns so recurring fit errors are corrected.
Put acceptance into the job record
Correct feeding and readable print on approved stock
Test an approved sample in the intended printer, checking feed, fit, output readability and labelled specification before ordering larger quantities for recurring customer supply.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Match rolls to customers' actual printer requirements using specifications and a physical sample, avoiding broad descriptions such as standard till roll that conceal different machine needs. |
| During delivery | Test a sample in the buyer's actual printer where permitted, check print readability, and label compatible stock accurately. |
| At acceptance | Test an approved sample in the intended printer, checking feed, fit, output readability and labelled specification before ordering larger quantities for recurring customer supply. |
| At the pilot review | Keep printer references, approved samples, specifications, supplier batches, feed complaints and usage intervals so reorders preserve the correct variant and distinguish defects from accidental substitutions. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
A similar-looking roll fits the printer but feeds poorly or produces disappointing output, creating trading interruptions because procurement considered external diameter without a practical machine trial.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Photograph the model plate and obtain its paper specification and the technician’s required roll size. | A receipt measuring roughly 80 mm across does not reveal the maximum roll diameter or core. |
| 2 | Have the authorised operator load and print a sample using the printer manual. Check feed direction, cutter operation and legibility. | Do not claim the test happened until the actual customer records approval. |
| 3 | Check supplier carton count, paper coating side, declared size and lot information. | One hundred rolls means two fifty-roll cartons; roll length must be specified separately if important. |
| 4 | Keep original wrapping dry and away from heat, direct light and incompatible contact materials as the paper supplier directs. | Do not store thermal rolls beside hot equipment or assume every faded receipt is a printer fault. |
| 5 | Count the cartons and provide the approved dimensions, grade and lot on the delivery note. | Reorders use the recorded product code, not the vague description ETR paper. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Paper feeds but prints blank | Check thermal side and approved loading direction. | Follow the printer manual; exchange incompatible media if needed. |
| Roll will not fit the bay | Measure outside diameter and core against the actual manual. | Return unopened wrong rolls instead of forcing the cover. |
| Receipts fade in storage | Review paper supplier care and actual exposure. | Escalate a lot complaint and avoid promising indefinite image life. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
