Sukuma Wiki Farm Records: Harvest, Delivery and Cost Sheets

Use one reference from the bed to the payment

A useful kale record connects field activity to a harvest lot, delivery and money received. Five unrelated notebooks make it harder to discover whether a poor margin came from inputs, low accepted weight, repeated transport or delayed collection. Use references consistently while keeping personal data private.

Bed and input record

Record the bed reference, area, planting source and date, input purchases, watering interruptions and labour time. Keep supporting invoices and relevant advice or treatment records. Do not invent a missing quantity from a typical yield or spacing claim; mark it unknown and improve the next observation.

Harvest and sorting record

FieldRecord at the relevant stage
Lot referenceBed reference plus harvest date
Harvested weightBefore removing rejected leaves
Sorting rejectionWeight and recorded reason
Packed outputWeight plus bunch count where used
Buyer allocationThe quantity assigned to each confirmed order

The first reconciliation is harvested weight minus sorting losses against packed output, allowing for the actual weighing method. Investigate a mismatch instead of automatically treating it as a sale.

Delivery and payment record

For each stop, record the order reference, dispatched amount, accepted amount, returned amount, reason, handover time, cash collected, balance owed and empty crates returned. Keep corrections as traceable entries. Do not overwrite yesterday's quantity to make it match today's cash.

Weekly decision sheet

Summarize accepted kilograms or agreed bunches, rejected output, direct costs, owner working time, delivery cost, collected cash and unpaid balances. Compare the result with the loss and credit limits set before the trial. Record the decision: continue unchanged, adjust the offer, revise the route, delay expansion or stop an affected activity.

The article set provides an invented pricing exercise and quote-based methods, not a verified farm case study. Primary sources linked below support crop-learning and regulatory enquiry routes only. No publication can confirm your actual soil, water reliability, buyers or income without local evidence.

Store planning backups securely and limit access to customer identities and transaction details. The paid downloadable manuscript and editable tools remain separate products; these public record specifications can also be implemented in a notebook or spreadsheet of your choice.
