Office cleaning contracts in Kenya: Customers and Market Demand
The buyer and the buying decision
Small offices needing reliable routine care. The offer to test is: Recurring office cleaning with a site schedule, security arrangements and measurable task frequency.
Build a task calendar around office occupancy, assigning quiet tasks during working hours and defining how desks containing paperwork should be treated without moving documents.
Separate interest from an accepted order
Run one supervised trial shift and time the actual workstation and common-area tasks.
The purpose of this test is to establish whether the buyer accepts the specified result, delivery arrangement and payment terms. An encouraging interview does not establish repeat demand. Ask what the buyer currently uses, what would make them change supplier and who has authority to approve the first order. Record a refusal as carefully as an enquiry so that unsuccessful offers do not disappear from the evidence.
Collect evidence specific to this offer
Record skipped locked areas, extra requests, supply consumption and administrator complaints by shift, using the pattern to negotiate a realistic recurring scope and staffing arrangement.
| Question to resolve | Evidence to retain |
|---|---|
| What exactly will the buyer accept? | Inspect representative workstations and shared areas against the agreed frequency chart, checking locked-room exceptions and replenishment responsibilities with the office administrator after a trial shift. |
| What is included in the first trial? | Build a task calendar around office occupancy, assigning quiet tasks during working hours and defining how desks containing paperwork should be treated without moving documents. |
| How will a prospect see the offer? | Present a site-specific proposal and trial checklist to an office administrator. |
| What must happen before repeating the trial? | Tasks completed at agreed frequency without exposing documents or disrupting operations. |
Decide whether to continue
Review the specification with the buyer before committing to tools or stock. A trial is commercially useful only if actual costs, rejected work, time spent and cash collected can be reconciled. Staff repeatedly request meeting-room resets outside the schedule, and informal helpfulness expands into an unpriced daily obligation that the supervisor cannot consistently fulfil alone.
If a buyer changes the required output, record a new scope and re-cost the test. Do not count a request for a different product as proof of demand for the original one. Keep personal contact details in your private records and use customer statements publicly only with permission.
Turn the example into a buyer test
Fictional office contract trial: four evening visits to a twelve-desk office with a small kitchenette, two toilets and 60 square metres of agreed floor. Each visit allows two cleaner-hours; the client clears desk surfaces. Include ordinary bins, accessible desk surfaces and specified touchpoints. Exclude handling documents, inside computers, secure rooms and specialist floor stripping. The trial establishes measured time and complaints before a monthly contract is priced.
| Buyer discussion | Evidence to retain |
|---|---|
| Specification to confirm | The client approves the access route and confirms that confidential papers will be cleared. |
| Output to inspect | The office contact receives a four-visit completion log and can link any complaint to a specific evening. |
| Failure that can defeat acceptance | Dust remains under a clear desk |
Ask the buyer to describe one acceptable and one unacceptable result. Record the decision maker, price basis, quantity, handover point and payment date privately. A sample request, an encouraging conversation and an accepted order are different evidence. Keep the first commitment within your demonstrated capacity; no customer interview or successful trial is asserted here.
What a failed test should change
Review whether the desk was marked accessible and whether furniture or cabling blocked the floor tool.. If the offer cannot meet that check, revise the specification or process before promising a repeat. Keep rejected offers and reasons in the same register as positive replies so that your record does not exaggerate demand.
