Office cleaning contracts in Kenya: Registration and Activity Checks
Define the activity that authorities need to assess
Recurring office cleaning with a site schedule, security arrangements and measurable task frequency.
Build a task calendar around office occupancy, assigning quiet tasks during working hours and defining how desks containing paperwork should be treated without moving documents.
Describe that exact operation when checking requirements. State where the work takes place, whether customers enter the premises, who performs technical tasks and whether you manufacture, resell, deliver or coordinate the service. Requirements can change with these facts; a broad business category is not a complete permit determination.
Sector questions to investigate
- Assess workplace safety, staff training, chemical labels and site access before accepting a cleaning scope. Check the relevant county and DOSHS requirements for the operating model.
- Ask the sewerage provider or NEMA as appropriate about wastewater, waste collection and disposal arrangements. A cleaning contract does not authorize uncontrolled discharge or handling hazardous waste.
- Water-tank entry, unsafe heights, electrical systems and specialist contamination are outside a general starter cleaning service unless properly assessed and performed by competent authorized providers.
Keep registration separate from permission to operate
A registered business name does not itself establish approval of premises, products or professional work. Use the Business Registration Service to check the appropriate registration route. Ask the relevant county office which premises and trading checks apply to the actual activity. Confirm tax and invoicing obligations with KRA for your circumstances rather than copying another trader's treatment.
Prepare a written enquiry
| Information to provide | Business-specific starting point |
|---|---|
| Proposed output | Recurring office cleaning with a site schedule, security arrangements and measurable task frequency. |
| Scope and exclusions | Build a task calendar around office occupancy, assigning quiet tasks during working hours and defining how desks containing paperwork should be treated without moving documents. |
| First operating step | Agree access. Document accessible surfaces, existing damage and excluded hazards before work. Obtain the site contact's agreement on access and shutdown arrangements. |
| Quality and acceptance | Inspect representative workstations and shared areas against the agreed frequency chart, checking locked-room exceptions and replenishment responsibilities with the office administrator after a trial shift. |
Add the county, location, premises arrangement, scale, equipment and responsible person's qualifications. Ask which authority handles an issue if it falls outside the first office's remit. Record the answer, reference link, date checked and any renewal or inspection condition. A guide's reference list is a route to verification, not an approval document.
Decide what must wait
Do not offer a regulated service or make a safety, accreditation or certification claim that you cannot substantiate. Resolve an unanswered prerequisite before accepting work that depends on it. A demand interview can often precede trading; a paid or physical trial still needs the appropriate permissions and safe arrangements.
Staff repeatedly request meeting-room resets outside the schedule, and informal helpfulness expands into an unpriced daily obligation that the supervisor cannot consistently fulfil alone.
No universal licence package, current fee or exemption is asserted here. The official links below support only their stated scope.
Prepare a precise activity enquiry
Describe this actual operating scope to the relevant authority or competent adviser: Fictional office contract trial: four evening visits to a twelve-desk office with a small kitchenette, two toilets and 60 square metres of agreed floor. Each visit allows two cleaner-hours; the client clears desk surfaces. Include ordinary bins, accessible desk surfaces and specified touchpoints. Exclude handling documents, inside computers, secure rooms and specialist floor stripping. The trial establishes measured time and complaints before a monthly contract is priced.
Use these operating details to make the enquiry specific:
| Detail to disclose | Why it can affect the answer |
|---|---|
| Task-coded cloths and washroom tools - Enough separate clean materials for four visits and a defined processing arrangement between visits. | Explain the actual premises, scale, use and who will perform the task. Ask which current rule applies to these facts. |
| Finish-compatible floor equipment - Select vacuum or damp-floor equipment from the office floor specification and supplier advice. | Explain the actual premises, scale, use and who will perform the task. Ask which current rule applies to these facts. |
| Specified bin liners - Eight liners per visit in this fictional scope, matched to measured bins and actual waste type. | Explain the actual premises, scale, use and who will perform the task. Ask which current rule applies to these facts. |
Keep the reply date, official source, exact activity facts and any conditions together. This is an enquiry preparation method, not a determination that a licence, exemption or fee applies. The earlier source dates do not mean legal requirements were rechecked today. Resolve these outstanding checks before relying on a broad business description:
- This proposed pilot has not been field tested or independently reviewed by a practising operator.
- Obtain actual local labour, product, equipment and travel quotes; confirm tax and delivery separately.
- Inspect the actual materials and manufacturer instructions before committing to the method and turnaround.
