Office cleaning contracts in Kenya: Risks and Launch Plan
Set the conditions for a safe commercial test
- Confidentiality breaches
- unpriced extra work
Staff repeatedly request meeting-room resets outside the schedule, and informal helpfulness expands into an unpriced daily obligation that the supervisor cannot consistently fulfil alone.
A risk list is useful only when it changes a decision. For each risk, write the observable warning, who checks it and the response before the next commitment. Do not treat a reserve of money as permission to continue unsafe or unauthorized work.
Use a small, measurable pilot
Run one supervised trial shift and time the actual workstation and common-area tasks.
The pilot scope is: Build a task calendar around office occupancy, assigning quiet tasks during working hours and defining how desks containing paperwork should be treated without moving documents.
| Gate | Evidence before continuing |
|---|---|
| Scope agreed | Build a task calendar around office occupancy, assigning quiet tasks during working hours and defining how desks containing paperwork should be treated without moving documents. |
| Output acceptable | Inspect representative workstations and shared areas against the agreed frequency chart, checking locked-room exceptions and replenishment responsibilities with the office administrator after a trial shift. |
| Costs recorded | Calculate supervision, relief cover and consumable delivery alongside cleaner hours, since recurring contracts can lose money through absenteeism and unplanned daytime callouts over time. |
| Buyer response recorded | Record skipped locked areas, extra requests, supply consumption and administrator complaints by shift, using the pattern to negotiate a realistic recurring scope and staffing arrangement. |
Stage the launch around prerequisites
First confirm the buyer specification and activity requirements. Then compare suppliers, establish suitable facilities and prepare the operating record. Run the bounded trial when those prerequisites are in place. Review actual costs, quality failures and cash collected before increasing the commitment.
This sequence is not a promise that the complete business cycle fits into 30 days. Growing periods, qualifications, approvals, seasonal access and customer buying cycles can require longer. Revise the schedule when a prerequisite changes rather than skipping it to meet a launch date.
Choose continue, revise, pause or stop
Continue only when the scoped result is accepted and direct costs and payment timing are workable. Revise one part of the offer if the problem is identifiable and affordable to test again. Pause when required information, permission, skills or resources are missing. Stop the affected work when safety, consent or lawful authority is uncertain.
Keep a maximum test loss and unpaid-balance limit suited to your actual funds. A successful single delivery is useful evidence, but it does not establish year-round demand or justify committing every available resource.
Tie launch milestones to observable checks
| Risk signal | Evidence to inspect | Response to test |
|---|---|---|
| Dust remains under a clear desk | Review whether the desk was marked accessible and whether furniture or cabling blocked the floor tool. | Correct the accessible section and amend the route so it is checked at the next visit. |
| Staff report a slippery kitchenette floor | Inspect dried residue, product measurement and water recovery; record any spill occurring after completion. | Control access and repeat the floor-compatible residue-removal process before reopening. |
| A file has moved | Check desk permission, operator account and any authorised office movement without opening private contents. | Escalate to the designated contact and preserve the incident record; revise the no-document-handling boundary. |
Outstanding go / hold conditions
- This proposed pilot has not been field tested or independently reviewed by a practising operator.
- Obtain actual local labour, product, equipment and travel quotes; confirm tax and delivery separately.
- Inspect the actual materials and manufacturer instructions before committing to the method and turnaround.
Assign an owner, evidence reference and review date to each unresolved condition. Do not give every milestone a fixed calendar date when it depends on a crop, production, approval or competence cycle. Run only a suitable limited trial, reconcile accepted output and actual cash, and record whether the evidence supports holding, revising, proceeding within the limit or stopping.
