Office cleaning contracts in Kenya: Operations and Quality Checks
Deliver the agreed result consistently
Build a task calendar around office occupancy, assigning quiet tasks during working hours and defining how desks containing paperwork should be treated without moving documents.
The operating sequence for this offer is:
- Agree access. Document accessible surfaces, existing damage and excluded hazards before work. Obtain the site contact's agreement on access and shutdown arrangements.
- separate work zones. Check each product against the surface and supplier instructions on an inconspicuous area. Keep incompatible chemicals separate and labelled.
- complete scheduled tasks. Control the working area and protect adjacent items while cleaning. Track consumables, labour and any area left inaccessible or unsafe.
- report damage or supply needs. Inspect the agreed checklist with the responsible site contact. Record drying restrictions, unresolved marks, damage observations and lawful waste-handling arrangements.
Put acceptance into the job record
Tasks completed at agreed frequency without exposing documents or disrupting operations.
Inspect representative workstations and shared areas against the agreed frequency chart, checking locked-room exceptions and replenishment responsibilities with the office administrator after a trial shift.
Inspect at the point where a correction is still possible, then again at handover. Record rejected or incomplete output separately from accepted output. A completed task is not automatically an accepted task, and an invoice does not establish that the customer received the right result.
Measure real capacity
Time preparation, the main operation, transport, cleaning, approvals and correction as applicable. The slowest stage determines how much you can promise. Where two orders need the same person, space or equipment at the same time, resolve the conflict before confirming both deadlines. An additional enquiry should not erase a commitment already made.
| Operating checkpoint | Evidence for this business |
|---|---|
| Before starting | Build a task calendar around office occupancy, assigning quiet tasks during working hours and defining how desks containing paperwork should be treated without moving documents. |
| During delivery | separate work zones. Check each product against the surface and supplier instructions on an inconspicuous area. Keep incompatible chemicals separate and labelled. |
| At acceptance | Inspect representative workstations and shared areas against the agreed frequency chart, checking locked-room exceptions and replenishment responsibilities with the office administrator after a trial shift. |
| At the pilot review | Record skipped locked areas, extra requests, supply consumption and administrator complaints by shift, using the pattern to negotiate a realistic recurring scope and staffing arrangement. |
Keep a correction and escalation rule
When inputs, access, specifications or customer instructions change, pause the affected work and confirm the effect on time and cost. Do not quietly lower the acceptance standard to avoid a delayed delivery. Keep rework caused by your error distinct from a customer-requested change of scope and agree the remedy clearly.
Staff repeatedly request meeting-room resets outside the schedule, and informal helpfulness expands into an unpriced daily obligation that the supervisor cannot consistently fulfil alone.
Retain the minimum records needed to investigate a complaint without disclosing unrelated personal information. Use measured delivery and actual acceptance as the basis for expanding capacity, rather than the maximum theoretical output of a tool or production line.
Operating control points for this exact offer
| Sequence | Work method | Release checkpoint |
|---|---|---|
| 1 | Identify the person authorising entry, alarm procedures and which doors must remain locked. Number desks and agree a short checklist for each visit. | The client approves the access route and confirms that confidential papers will be cleared. |
| 2 | Clean only cleared surfaces with a suitable cloth method; do not rearrange files or spray computers, sockets and extension strips. | Any uncleared desk is logged as inaccessible rather than wiped around private papers. |
| 3 | Use dedicated toilet materials and separate kitchenette tools; follow product instructions and the client-approved waste route. | Cloths and gloves are changed or handled according to the task plan before returning to general areas. |
| 4 | Vacuum or mop according to the actual finish, working toward an agreed exit and marking wet sections. Close bins and replace the client-specified liners. | No lead or wet patch blocks the remaining occupied route; equipment is stored outside confidential areas. |
| 5 | Record actual time, inaccessible desks, consumables used and defects. Recheck doors and return keys under the agreed custody process. | The office contact receives a four-visit completion log and can link any complaint to a specific evening. |
Do not substitute a tick for an observation: record the count, measurement, approved sample or evidence reference used at each checkpoint. Mark unresolved work as held and identify who can approve the recheck.
Diagnose a failure before repeating it
| Observed symptom to investigate | Check the cause | Proposed response |
|---|---|---|
| Dust remains under a clear desk | Review whether the desk was marked accessible and whether furniture or cabling blocked the floor tool. | Correct the accessible section and amend the route so it is checked at the next visit. |
| Staff report a slippery kitchenette floor | Inspect dried residue, product measurement and water recovery; record any spill occurring after completion. | Control access and repeat the floor-compatible residue-removal process before reopening. |
| A file has moved | Check desk permission, operator account and any authorised office movement without opening private contents. | Escalate to the designated contact and preserve the incident record; revise the no-document-handling boundary. |
These are diagnostic prompts, not proof of the cause in a real incident. Separate suspect output, record any correction and repeat the relevant acceptance check. Link rejected units, rework time, replacement materials, customer credits and collection delays to the actual job result.
